Activity 2 Answer Microsoft PowerPoint is a very useful tool that is widely used by many organisation. The ease of use is what makes it the most used presentation applications. MS PowerPoint can be used to design impactful visual content that is not possible in MS Word or Excel. The SmartArt and Insert Shape options within MS PowerPoint allows to design the content in a way that can be easily communicated and interpreted. The ability of inserting audio and video into a PowerPoint to explain content is what makes it more usable and applicable for presentations compared to MS Word or Excel.

Activity 3 Outline some folder and file naming / saving conventions which may form part of a modern organisation’s data storage policy. (Outline organisational policies, plans and procedures).

Activity 3 Answer A filename should be made using a series of components like organisational keywords, dates, version numbers, etc. While designing a file naming convention, we must decide which key components to use and in what order. The order in which we use the keywords and dates is important so that it is easy to search or sort according to the filename. Consideration should be taken while designing file name to not include special characters or spaces or exceed character limitation. As per the organisational policies, plans and procedures, file names must contain the name of title of the document, followed by the date in DDMMYYYY format and version number starting from 0.1. Any updates made to the same file, the version number needs to be updated as 0.2, 0.3,0.4 and so on.

Activity 4 Barbara works as a personal assistant. Part of her role is to prepare documents for her manager, who is going to make a presentation to all staff next week. He has asked Barbara to develop the presentation, including the presenter notes. Barbara found the organisation’s style guide for developing presentations and designed the information accordingly. She used consistent design principles throughout the document. She prepared presenter notes and made a hard copy. The presentation included some photographs that Barbara had to scan before she could include them on slides. Identify how Barbara made sure that the style of her presentation met with the requirements of her organisation and that she used consistent design principles throughout the document.
