CHAPTER 1: The Problem and Its Settings

Computerized Library System for BTECH Library 1.1 Introduction Library is a collection of sources of information; it is made for an accessible place to define community engaging knowledge. Technology has increased their population, since it was become a quick candidate solution of a problem of any existing field. It is difficult for them to change the manual process of transaction in the library. A transaction such as borrowing and returning transaction, recording of books and also the list of the unreturned books that are constructed for their manual process and routine. Through suggested as an alternative, the new technology and system will be adopted quickly as in the sectors. It’s also served as a various place for finding unclear information. The librarians are expected to be busy in this new era; they permanently make conclusions and always in feat. They manage a thousand of books and keeping it for the next generation. We can say that “Every library has a flexible design and arrangement, a comprehensive tool for student which is proven in educational techniques in different fields and provides instructions with a package of learning materials.” Librarians are simultaneously the first and last considered in implementing new technologies into their program. We, researchers, are early adopters of computers. Yet libraries are often the last place to update technology once it was adopted by the organization from interactive process of transaction in the library. Technology and its system are used to process data, they organized a very vital, that it would be a user friendly. Baliwag Polytechnic College Library was established by the year of 2008 by the Municipality of Baliwag , Bulacan. It was the idea of former Mayor Romeo M. Estrella who always thought of providing opportunity to the deserving children of the Baliwag. For its academic year 2008-2009 TESDA Programs were placed under the skills of Management Institute. The department primary goal is to develop and improve programs that will highlight the technical and vocational skill of trainees. It empowers the people with skills and competencies that they can use to improve the quantity of their lives.

But now the BTECH library has an exact count of 4,175 books that is available for them to use. A lot of book gives them a lot of wastage of time to find and search for the exact book they need.

A perfect school library is speaking in to its brand, a reading room that can have of these physical features, big and wide, helpful and comfortable, complete with collection of library materials, accessible, and supply an excellent services to client. But how would be a library be more efficient and consistent to the researcher if he/she will immerse in a thousands of book just to find the right one? The purpose of having Computerized Library System is to help the librarian to notify the in and out of the books. It would help also to the library staff to monitor its material so he can manage it early. In every transaction that the staffs have, should be recorded in a good way. Recording is one of the most proficient way in monitoring, because having miss-examined in the tools may result to un-integrity of the book data. The library serves as the dynamic source of knowledge in every individual student. It would be a great service for them if the time he/she that is being consumed is will be the time of studying in just a click. In having the system, this may let the researcher to find the best book he/she needs. Baliwag Polytechnic College Library is using their manual existing system. In terms, all transaction is being record in a log book. Such as borrowing, returning, and the time you spend inside the library. Searching of the books is sometimes quite difficult for the researchers. Students sometimes searching for the book that was already borrowed or no longer available, in return, it is possible for them to waste their time in unnecessary way. And those are the reasons of the proponents to propose the Computerized Library System for BTECH library.

Reports  It contains the list of the books.  It contains the list of the borrowed books.  It contains the list of the un-returned books.  It contains the list of the students who are applicable to use the library.  It contains the list of the shelves subjects of books.  It contains the list of book transactions with-in a day, month and a year that is saved in database. .



Student management  It can add a new student that can applicable to use the library.  It can manage the student from editing.



Books management  It can manage the books from adding them as a new material.  It can edit the books if information saved is wrong.  It can delete a specific book.



The student can search the book they needed.



It can record and monitor the in and out of the books.



It can be manage by different accounts of admin.

Delimitation We all know that every system has its own limitation, so these are the limitations that Computerized Library System for Baliwag Polytechnic College Library cannot do:

 The data stored is prone to cyber hacks. Opting for a reliable online system eliminates the risk  Costly and Expensive  Complicated to operate  Online Systems require high-speed internet connectivity  Risk of computer virus  The automation feature is not available in offline/ open source systems thus, requires manual action to perform operations  Unlike online systems that utilize cloud computing, Open-source systems store data on computer hard drive. This increases the risk of data loss

1.6 Significance of the study In this area of document, we will talk about the importance that will help and able to provide benefit to each individual below.  The Librarian Having the Library System will be easy for her to monitor all the records of books. It will enable the librarian to manage it faster than the manual system they have. The System will also do much help to the librarian to save time and much effort in checking the availability and list of books.  The Assistant Librarian In this Computerized Library System of Baliwag Polytechnic College, It will help the Assistant to do their daily task in an easier way than before.  The Faculty / Student(s) The System will help each individual mentioned above to lessen the time being consumed to find the specific book they need. In the other side, The System will do a fast searching and improve their decision making in which book they need to take.  The Researcher(s) It helps the Proponents to enhance their Skills, Knowledge, Critical thinking and Creativity in this study. In studying the library flow, The Proponents will be train and bring the learning in their future career.

2.1 Related Literatures 2.1.1 Foreign Literature According to Chad (2009), consulting it is major point of change in the wider information economy within which library system form part of a larger whole. He was writing in a briefing paper about the study in library management systems. This study examined the system used in higher-education libraries across the UK and came up with some significant observations and recommendations. It noted that LMS market in UK higher education is already mature and that four main vendors (ExLibris, Innovative, SirsiDynix and Talis) have almost 90% of the market. This market maturity means, according the study authors, that the benefits to libraries of changing LMS provider are limited.

2.1.2 Local Literature The Systems Services (SS) unit is responsible for the development, implementation, and maintenance of the computerization and information technology plans and programs of the DLSU Library. It oversees the day-to-day administration of the different computer hardware and software facilities, operations and applications that are essential in the delivery of automated library services. It works closely with the Information Technology Center (ITC) of the university in the provision of computer and network facilities and services that respond to IT requirement of the library.

2.2 Related Studies

It Implies a high degree of mechanization of various routine and repetitive tasks & operations and processes are left to be performed by human beings. The study stresses library automation as the application of computers and utilization of computer based products and services in the performance of different operations and functions or in the provision of various services and output products. In addition to computer advancement, telecommunication and audio-visual technologies gives away to new possibilities in information processing.

2.2.2 Local Studies According to Lou (1986), a survey on the computer application in 223 libraries in Metro Manila. The study revealed that they prioritize the three library functions to be computerized as cataloguing, indexing, and circulation. However, the plan for automation for the libraries cannot be implemented due to financial incapability of the libraries, and the lack of funds from the government. Despite of this drawback, the libraries are not turning their backs unto the automation of their libraries.

Computerized Library System BTECH Library This chapter starts on thefor discussion about the project research design methodology. The second part presents the development of the system. The third part tells the operation, process and testing. The last parts discuss the evaluation procedure.

4.1.1 Waterfall Model

Requirement phase - all the requirements of the system are captured in this phase. Design phase - This phase looks at how the software will be built and how the system will operate. The main purpose if this stage is to create a blueprint that will satisfy all documented requirements, to identify all inputs, processes and outputs needed and also to help avoid misunderstandings by users. Implementation phase - Is the stage in the project where theoretical design is tuned into a working system. The implementation phase constructs, installs and operates the new system. The most crucial stage in achieving a new successful system is that it will work efficiently and effectively. Each unit is developed tested for its functionality which is referred to as unit testing.

Cost integration the entire system is tested for any faults and failures. Maintenance phase- This phase is needed to fix or to enhance the system for the better version. Also to enhance the product some better versions are released. Maintenance is done to deliver these changes in the customer environment.

4.2.2 Technical Feasibility In our proposed system the proponents and researcher used JavaScript framework called AngularJS in making the Computerized Library System for the

proposed "Computerized Library System" we used to unite the three mentioned above. First the Java development kit is needed the proponent to work with PHP WordPress Framework and Wamp Server for back-end in merging the 3 software the proposed system will be much possible to done. Computerized Library System for BTECH Library 4.5 Conclusion During the development of the Computerized Library System of Baliwag Polytechnic College, our group had encountered a lot of problems and difficulties, most especially in attaining the objectives that we’ve situated in our proposal. Our systems have features that need full attention and should be deeply scrutinized. The creation of system’s database requires enough period of time to be perfectly established, because all the needed information requires good critical thinking and thorough analysis before placing them altogether. The arrangement of the gathered information was planned carefully to easily trace its relationships which connects from one table to another and to avoid disordered database set-up. As we’ve demonstrated the system to the intended end-users namely the administrator, the librarian and students, they affirmed that such innovation in school’s library system is efficient since it provides a more intuitive and functional features that lessens their time and effort in making different library processes and transactions. Based from the findings and analysis of results, this case study was able to meet all its objectives and answered it’s;  Book searching is faster and time-and-effort saving.  Borrowed books are always monitored as well as the due dates.  Generating reports is faster and time-and-effort saving.  Important library records are placed in a secured storage.  Human errors are avoided and transactions are reliable

4.6 Recommendation

Computerized Library System for BTECH Library After a long period of analyzing and beyond the achieved objectives of the proposed system, we present some recommendations which will be helpful and useful for the school’s existing system and to make it more stable, efficient and reliable. Baliwag Polytechnic College should pay more attention in improving the Computerized Library System of the school so that all the processes and transactions will be automated and enhanced so that the time and effort of both the students and librarians in dealing with library transactions will be lessen. First thing that we recommend is monitoring of the number of students that will enter the library should be recorded by the system. We also recommend that sending of notification to users should be enhanced, and should be improved by implementing an SMS sending algorithm through the use of internet. It is also recommended that further study about the system will be conducted to verify the efficiency and reliability of the system. For the record, once the book is searched, the whole content of the book should be available for reading online to its registered users
