How to request Academic Consideration for Missed Tests and Deadlines Preamble.

Whenever you experience a sudden, unexpected issue that prevents you from completing an assignment on time or attending a test, you will want to request Academic Consideration. Currently, there are two systems in place for such requests, depending on the reason for the request. The Academic Consideration Request (ACR) Online Submission is a new procedure that Ryerson is rolling out in stages. Once fully implemented, a major benefit for the student will be a more convenient submission process and automated communications with professors and the program department. At the time of writing, the online system is for health-related requests only. In fall 2018, the Faculty of Science joined the project.

Procedure for Requesting Academic Accommodation For Health-Related Requests 1. Currently, the ACR online submission is for health-related matters only. If you are requesting consideration for other reasons (e.g. funeral attendance), skip to the next section, For All Other (Non-Health) Requests. 2. If you are requesting consideration for medical reasons, first notify your professors (just those teaching courses in which you missed graded work) by email that you are ill. You do not need to wait for their reply. 3. Download the Ryerson Health Certificate, read the instructions, fill in part A (your information) and print the page. 4. Take the printed copy of the Health Certificate to the doctor. After the doctor sees you, ask them to fill in part B. There may be a small charge ($20 or so). 5. Do not fill in the Academic Consideration Request form (p 3 of the Health Certificate document). 6. Scan or take a photo of your completed Health Certificate so that you can upload it in the next step (JPG, GIF, PNG and PDF formats are all supported on the website). Ensure it is readable. 7. Go to the Senate Online Submission portal and submit your ACR. Read the instructions carefully, indicate all missed work, the relevant courses and professors, and upload the electronic copy of your Health Certificate. 8. You will receive a confirmation email with a reference number. Retain the email and use the reference number in all correspondence regarding the request. 9. Your professors and the FYCSO will also receive notification of your request for accommodation. 10. The FYCSO will start the process of verifying your documentation. 11. Submit your original, completed Health Certificate to the FYCSO within three working days of the missed test or deadline. 1

12. Once your request is reviewed and your documentation verified, you will receive decisions from your professor(s) regarding your request. 13. If you do not receive a decision or details regarding how to make up the work within 5 working days of your documentation being verified, email your professor and cc your academic co-ordinator (Dr Anne Johnson). PLEASE NOTE: You do not have to use the Ryerson Health Certificate, but you must provide the information indicated on the Health Certificate. It is most expedient to use the Health Certificate; for example, a brief note from a doctor stating, “So-and-so was seen by me today for medical reasons,” is not normally sufficient. Such notes are received all too often at Ryerson. If you choose not to have your doctor submit the Ryerson Health Certificate you must still fill in part A and submit it with your doctor’s letter. The doctor’s letter should include the duration of the health condition and the impact on your ability to perform during that period. Where circumstances do not permit this, the student must inform the instructor as soon as reasonably possible.

For All Other (Non-Health) Requests 1. If your request is not health-related, you must contact your professors (just the ones teaching classes for which you missed work) by email, explain the situation and ask for accommodation. 2. In your email, ask them what documentation they would prefer to see. If possible, provide the documentation requested. Otherwise, gather whatever documentation that you can to provide as evidence of your situation. For example, if you are in a car accident on the way to a test, take pictures with the licence plate showing. If there is a police report, ask for a copy. 3. Fill in the (paper) Academic Consideration Request form, fill it in and submit it to the FYCSO along with your supporting documentation within 3 working days of the missed test or deadline. 4. The FYCSO will verify your documentation (if possible) and contact your professors regarding the status of your request. 5. You should receive a decision regarding your request within 5 working days. If you do not, email your professor and cc the first year academic co-ordinator (Dr Anne Johnson).

If Your Request is Successful Make sure you follow the conditions for the accommodation, as provided by your professor, to complete the course requirement.

If Your Request is not Successful You may discuss your situation with the first-year academic co-ordinator (Dr Anne Johnson), and ask her to intervene with the instructor to find a resolution. If that is not fruitful, you may appeal the decision of your professor at the end of the semester through the academic appeal process (Senate Policy 134). Ensure that you retain all email correspondence and notes regarding your interactions on the matter.
