Business Case for Wiki Project March 5th 2021 Prepared by: DF Team 8 1.0 Introduction/ Background The goal of this assignment part one is describing two Project Management Tools (PMS). We chose two PMS tools for this assignment part one. These are Trello and Asana which are the most used PMS tools. However, these two are suitable and useful for us because these two are beginner friendly and cheap software that most people would get accustomed to quite easily. 2.0 Business Objective This project is to create wiki using two PMS software’s which are Trello and Asana and required to use two cloud - base Project Management Software’s without using MS Project. All this assignment will be done with a view to assisting for the final year AUT students which may be helping them to choose one for their R&D project. Therefore, all these criteria’s must be following the requirements of this assignment. There are 3 main Business Objectives which are cost management, team management and comparison of two PMS tools that we chose. These are Trello and Asana. Firstly, the cost management is to manage a project to complete it within the set budget such as cost estimation, budget estimation and so on. Secondary, team management is the most important part for project management. In this assignment we are managing team as one team reader and 3 other team members to complete this assignment. Thirdly, comparison of two PMS will be providing positive and negative information for the final year AUT students to complete the R&D project. 3.0 Current Situation and Problem/Opportunity Statement AUT does not have a WIKI for the final year AUT students to complete R&D project which is the current situation. The WIKI will be needed to complete as usable for the students who are studying computer and mathematical science. There are two big opportunities at this stage which are learning the project management and create a WIKI to help the final year AUT students to do R&D project. There is also a problem which is the PMS tools are paid services. However, currently AUT paid $10 per month for students to use. 4.0 Critical Assumption and Constraints The proposed Wiki must be an asset for AUT and the school of engineering, computer and mathematical sciences. The Wiki is to be used by students taking the Research and Development paper to help the student to decide which PMS application they would like to use. The Wiki and PMS products must run on the current SECMS infrastructure systems. The wiki must be completed by 1st June 2021 to be ready for semester 2 students. The wiki should not be over 4,500 words. The wiki should not cost more than $200,000. . 5.0 Analysis of Option and Recommendation There are three options for addressing this opportunity:

1. Do nothing, Microsoft project is fine for students to continue working with. 2. Outsource the wiki project to a company to create for us. 3. Create the wiki inhouse, using existing AUT hardware and software. Based on discussions with stakeholders, we believe that option 3 is the most suitable. 6.0 Preliminary Project Requirements The main features of the Wiki project include: Relevant information on 2 PMS applications relevant for R&D students. The Wiki must have sufficient security, so only R&D students/SECMS members can access the wiki. Be able to update the wiki based on student feedback User friendly design. Easy for students to navigate to get the information they need.

7.0 Budget Estimate and Financial Analysis A preliminary estimate of costs for the development of the project is $200,000. This estimate is based on a preliminary investigation done by the school of engineering, computer and mathematical sciences for the proposed wiki project. With an estimated average of 250 students per semester each year during the operating period after the completion of the project. The operational costs after initial development for internet charges is estimated at $4 per month per student increasing by 10% each year, for a total of $35,138. The licensing cost for Trello is $27.22 per user by monthly and the total yearly would be $103,500, while Asana is estimated at $24.87 per user by monthly and the total cost yearly would be $124,140. Exhibit A shows the estimated payback is within the first year for both project management software (PMS). The NPV is for Trello is estimated to be $987,555 and for Asana is $1,023,892 The discounted ROI based on a three-year lifespan of the PMS is, Trello at 14% and Asana at 157%. 8.0 Schedule Estimate The estimated finalization of the project is around six months, and the expected deadline is 24th of May. Which give us around two months as we have started the project at 15th of March. The wiki is expected to be finished by 1st of June so the Research and Development (R&D) Students will have access for semester two of the year. We are here to fulfil our stakeholders' requirements and expectation of us to be able to finish within the deadline and to provide them with the project that they inquired us about.

9.0 Potential Risks During our assignment we will encounter many risks and uncover many more potential risks along the way. It is crucial that hold meetings and communicate often to avoid or

counter these risks. Communication will be a big factor with risks as team members will be very distanced from each other outside of Uni times.
