CHAPTER 1

BACKGROUND INFORMATION

1.1 Project Background In this proposed project, our client has requested to construct lecture hall at Kolej Kemahiran Tinggi MARA, Parit Raja Johor worth of approximately RM 800,000.00 thousand. The project will take approximately 12 months to complete, with a 24-month defect liability period beginning on the date the company hands over the keys to our clients . It's important to remember that the Housing Development Act (HDA) primarily applies to residential buildings and developments, therefore not all new developments come with a DLP. During this period, it is a necessary for our client to inspect for any damages and defects, as well as poor or faulty workmanship and need to report any issues to the company as the repairing process is still under company's responsibility. This proposed project will start on first of February 2021 and expected to be completed by late of January 2022 and the location of the project is at Kolej Kemahiran Tinggi MARA, Parit Raja, Johor.

There are several factors that need to be considered not only during the construction process, but also throughout pre-construction and post-construction period. Earthworks, substructure, sewerage system, superstructure, architecture works, mechanical and electrical works, and clearing and cleaning works are the physical works that will be included during the life of this construction project. Furthermore, to guarantee that this project is cost-effective and does not exceed budgetary constraints, project management, particularly for site activities, need to have a systematic plan in place and constantly inspect the work progress. The usage of machinery can be takes as example as one of the site activities that need to have good management as machinery are being used only in certain period of time regarding the type of work needed to be done and the duration of work.

1.2 Company Background 1.2.1 History and Philosophy

PANCARAN ILHAM ENGINEERING SDN BHD is a private limited company, formerly known as Pancaran Ilham Enterprise. It was incorporated under 1965 company act on 28th October 2007. This Company has a paid up capital of RM 750,003.00 and authorized capital of RM 1,000,000.00 respectively. It was established by Encik Azim who has an excellent background and vast experience in construction. PANCARAN ILHAM ENGINEERING SDN BHD has already registered as an ‘A’ Class BUMIPUTRA contractor with PUSAT KHIDMAT KONTRAKTOR (PKK) and has also registered with the CONSTRUCTION INDUSTRY DEVELOPMENT BOARD (CIDB). Accordingly, the company looks forward to registering with other relevant bodies / authorities with the aim of developing itself more actively and effectively. PANCARAN ILHAM ENGINEERING SDN BHD also had been assed by AJA EQS Certification (M) Sdn. Bhd. and registered against the requirement of MS ISO 9001: 2008. Our scope of registration is construction project & civil engineering management.

1.3 Introduction of Project Microsoft Project (MSP) is a project management programme that enables project managers in project management. Depending on your strategy, Microsoft Project allows you to organise projects, assign tasks, manage resources, create reports, and more. Based on assignment tasks and resource pricing, budgets are produced in Microsoft Project. The programme estimates the cost, which is equal to the work multiplied by the rate, when resources are assigned to tasks and assignment work is estimated, and then rolls up to the task level, any summary task, and eventually to the project level. However, this programme has its own flaws, such as being difficult to learn and use, necessitating the users' time and effort for thorough training. As a result, it is critical for engineers working on construction projects to have at least a rudimentary understanding of this programme. The construction industry is well-known for its importance at both the national and international levels, and it employs a large number of people in Malaysia. Thus, in order to have efficient project management, building projects that are unduly confined by various aspects such as time, money, quality, and hazards involved must be organised and prioritised. Delays in project completion and cost overruns can occur in construction projects owing to a variety of circumstances. Delays in the preparation of design documents, a poor timeline, and a lack of time management are all common problems that affect construction project management. Moreover, the delay in delivery of material to site, lack of knowledge about different defined execution methods, shortage of labour and material in market and changes in scope of work also becomes factor that effecting the completion of one construction projects [2]. According to the findings, there was a statistically significant difference in benefits such as reduced construction errors, more flexibility and real-time access to information. It was suggested that, to meet the issues facing the construction sector, building professionals should boost their investment in creative digital solutions [3]. Microsoft Project can be one of the solutions to achieve efficient project management as construction professionals highlighted the advantages of using digital technologies for construction planning as increased quality, better record keeping, and time savings.

1.4 Scope of project 1.4.1. Objective

The purpose of this project is to propose the construction of a lecture hall at Kolej Kemahiran Tinggi MARA, Parit Raja Johor. There are main goals to assist assess performance in order to meet the client's desire. 1. Keep the progress of project on the right track. 2. Cost of the project as minimum as RM 800,000.00 thousand – until at reasonable

budget. 3. Contractor need to finish the project in a given period, which is 12 months

1.4.2. Project progress data In order to reach the project's milestone, PANCARAN ILHAM ENGINEERING SDN BHD was able to demonstrate our expected project progress in Microsoft Project. By giving references to the project's development, this may help in a better understanding between the contractor and the customer. Microsoft Project can show if the contractor team did their task properly or not for the purpose of the client's top-level requirements. As indicated below, there are various prerequisites that must be followed.

The project must follow the requirement lists: 1. To fulfill the client’s request. 2. To complete this project on time, economic and save cost

1.4.3. Acceptance criteria When the contractor team and the customer agree that the deliverables match their requirements, the project will be accepted. This project will also be regarded a success if the proposal demonstrates that the customer is satisfied.

1.4.4. Assumptions This project has several assumptions as well as limitations. 1. Every team must collaborate and operate well together. 2. To prevent making errors, each team must interact with one another.. 3. Every choice must have the backing of the whole team, as well as the wishes of thclints.

1.5 Cost Of Project

For the costing of this project, tasks from the Gantt Chart have been appointed by a few resources and those resources have been made by referring to the Contract Document from the project of constructing lecture hall at Kolej Kemahiran Tinggi MARA, Parit Raja Johor. It is important for identifying suitable resources and cost estimation since this project got no structure and architecture plan. The predecessor for this project also preferred the logic and experiences from the previous projects conducted during the internship. That predecessor must be relatable and no-obligation occurred if some of the tasks need to be executed. There are three types of resources such as work, material, and cost. For this project, work and material are used to appoint the resources for certain tasks where work must be followed by a standard rate at which cost per time is used based on the contract document as mentioned before. Some of the standard rates refer to the ringgit/day and ringgit/month. For the material, its only required cost for constructing those elements in the task referring to the contract document and progress report as well. For this project, the total cost is about RM 800,552.00. This cost is including all the works that have been done for this project.

1.6 Location of Project

This project is a construction building of the lecture hall at Kolej Kemahiran Tinggi MARA (KKTM), Parit Raja Johor. This building will be built to increase the number of lecture halls due to limited study space at KKTM, Parit Raja. This lecture hall was also built to add more comfort to college students. The building has site ownership from the local authority, the Batu Pahat Municipal Council. The lecture hall will be built in an empty space of 245 m2 next to the tennis court.

1.7 Methodology The project has been developed using Microsoft Project software, as it is a reliable project management tool in performing daily tasks for a project manager. Microsoft project are developed to assist person in charge in developing plans, assigning resources to tasks, tracking progress, managing budgets and analysing workloads. It is also providing a balance between usability, excellence, and flexibility, to do job more efficiently and effectively. The project of “Construction of Lecture Hall at Kolej Kemahiran Tinggi Mara, Parit Raja” has used the Gantt Chart as in Microsoft Project Software to complete overall construction task. Shown below are step taken on constructing the Gantt Chart.

1.7.1 Start a new Microsoft Project

The method for building a new project file is just similar to any other Microsoft Office application i.e., by clicking on the menu bar File> New or by clicking on new icon from the Toolbar.

1.7.2 Defining the project

The first step to building a project plan is to build a new project file, set a start date or end date for the project and include some basic information about the project.

Enter tasks names List out all of the construction work under task name column from starting the project

until the end. After the list is made, the tasks should be in realistic arrangement for designing an accurate project schedule.

Define WBS works number Defining the WBS helps more accurately and specifically define and organise the scope

of the total project. The work breakdown structure provides a common framework for the natural development of the overall planning and control of a contract and is the basis for

dividing work into definable increments from which the statement of work can be developed and technical, schedule, cost, and labour hour reporting can be established.

1.7.5

Arrangement of task by using Indent and Outdent task This project schedule may be a single-level list of tasks, but, more likely, project tasks

have a hierarchy to them. That is, some tasks are summary level tasks, and other tasks are subtasks of those summary tasks. Summary tasks may represent different phases in project or higher-level portions of work, while subtasks represent more detailed work that falls under larger phases or tasks. So that, indents tools are important to define the condition of the project task whether there are under sub task or not.

Set duration time

The duration for each activities needs to be inserted in order to make the timeline on the Gantt Chart.

1.7.7

Set working time Set the working time to easier generate the date. Working time has been set into 8.00

am till 5.00 pm from Sunday to Wednesday while for Thursday working time is set from 8.00 am till 4.00 pm.

In addition, it also neede to set the exception of public holiday with fill out all the exception working day into the box as below refers to the Calendar of Johor State 2021 as the as the construction site at Parit Raja, Batu Pahat.

1.7.8

Generate start and finish date Start and finish date is generated automatically when finish inserting the duration.

Those tools can show the start and the end of the project. From Gantt chart, it shows that date of construction started are on Monday 1st November 2021 until Sunday 26th November 2022.

1.7.9

Determine the cost of project The cost is insert manually under fixed cost column but only under activity only. The

column of total cost will generate automatically when the fixed cost is already fulfilled. For fixed cost accrual we have choose prorated because the cost is pay based on their rate.

1.7.10 Determine critical task

Critical task is important to determine which task need to solve in following duration. For this project, we only use two types of predecessors, which are finish-start and finish-finish. Diagram below shows example of task with different predecessor. The first one is finish-start predecessor. It is mean the main predecessor and other task is begun. Earthwork task cannot begin until site clearance is completed.

Next is finish-finish predecessor. It is mean both tasks end at the same time. Compaction cannot be completed until concreting is completed.

1.8

Discussion

1.8.1

Work Progress The progress of work for selective project can be produce from Microsoft Project that

have been execute by Gantt Chart. It has been used for any authorities such as consultant and contractor to identify work progress that should be done before and after executing task by referring the duration for the work as well as cost that should be implemented while do the task given. 1.8.2

Gantt Chart Based on the generated Gantt Chart, once the construction stage for physical work has

begun, consultants and contractor should take responsibility for keeping on track of duration and cost distribution to perform tasks without delay and avoid interfering with critical tasks created by planner group. As shown from the Gantt Chart, the construction stage that consist by several main tasks such as site preparation and earthwork, initial site survey, sub-structure and superstructure works, sewerage system works, architecture works, M&E works, site clearing and cleaning, and final inspection. Superstructure works have the highest duration which are 84 days to complete the overall superstructure milestone task. Meanwhile the highest cost in the construction project are also goes to superstructure work which costly about RM 215,989.00.
