Abstract TuffEnuff Pty Ltd. Is looking forward to expanding their business. So, they require to develop a website to provide a more comprehensive outlook of their products and services to the customers. They want a dynamic e-commerce website where they can upload more of their customised trailers and attract customers. This report discusses the requirements of stakeholder. The website will give customer freedom of choice to add or remove features from existing trailers. This project will also facilitate in developing an online order and securing payment processing. TuffEnuff expects that with the development of the website, setup of the new dealership or franchise will able to do with low investment. Through e-commerce business, the growth in sales is expected to be increased by 60%. WebCraft will do the hosting and maintenance of the website. Due to lack of experience and expertise, it is challenging to perform regular updates of the content. The website will be easy-to-use by all the stakeholders.

Company Overview TuffEnuff was founded in 2000. It was formerly known as Steel Craft for architectural metal fabrication with specialisation in specialty aluminium and stainless steel fabrication. In the spring of 2007, it diversified into trailer manufacturing. Earlier, TuffEnuff used to manufacture small box utility trailers during slow business cycles to use available manufacturing capacity in the architectural metal business. By 2010, TuffEnuff became a full-time trailer manufacturer.

Business requirements TuffEnuff website is aimed to expand and hold the market by the dynamic online presence of their latest innovation and quality. A dynamic website that could be run on most of custom operating systems via a web browser where customer can view an online catalogue, customized existing trailer on top of the basic trailer by adding or removing available option. A determined push into the customised trailer market to provide solutions for people who want some individualisation of their trailers. Customer can request a quote and place an order with an option to make a secure online payment. TuffEnuff wants to expand and open more retail outlets through the new dealership or franchise in a new location to grasp the trailer market and new customer. The company also wants to ensure a centralized arrangement that can help their business to grow in terms of volume and profit.

List of Stakeholders, their roles and level of involvement Stakeholders of any project are the people or group of people who are directly affected by the output of a project and are involved in the project. Stakeholders of a project include the people or group that: a) Sponsors of the project. b) Share profit of the project, c) The employees of the organization, d) The People from outside the organization like suppliers, consultants.

The stakeholders for this project are:

Finance team – They are responsible for all financial activities around the organisation. Three chief branch accounts manager also coordinate to perform or assist branch sales, design and office staff under the supervision of the managing director. They finance the whole project like procurement of new hardware or software, web hosting and web development cost. This team will contribute to the planning and development stage. Without finance team approval, this project couldn't be run. The primary responsibilities of the finance team for TuffEnuff project are: •

The principal responsibility of the Finance team to this project is Financial Planning, Financial Analysis, and making strategies for the future. As the TuffEnuff project is expanding its business to online, finance team will determine how will the finances be managed in future? Comparing the financial results achieved to the planned results is done, and then the strategies are made for the future.



Bookkeeping and financial reporting: The bookkeeping and recording of all the transactions involved in TuffEnuff and transforming them into comparable statements.

Tax & compliance: As TuffEnuff will grow, the projects’ finances will also grow. The finance team ensures the timely delivery of taxes, and also works for tax minimization strategies.



Capital Management and budgeting: The finance team will ensure that while making the expansion in the project, the budget does not go beyond limits, and the company does not run out of cash.

Office Management Team – Office management team collaborate healthy interdepartmental environment. Office management team arrange meetings or interviews with related departmental staff during (pre and post) development time of the project. Like data collection. This team will contribute to information gathering, the planning stage. They also look after their regular job is not facing any challenges. The office management team have the responsibilities of: •

Managing the project deliverables.



Orders management.



Ensuring the timely delivery of orders.



Scheduling the ongoing activities on the project.



Assigning tasks to employees.

Manufacturing Team – They finish the structure or customizing customer order and handover for delivery or sales team. They can contribute by providing information in detail. Like necessary trailer making process and time required. If the customer wants to add some feature to the basic trailer, what is the process and how much time they need to build. Approximate delivery time need to inform customer after payment has been made. This team will contribute to information gathering, the planning stage. The roles and responsibilities of the manufacturing team for TuffEnuff project are: •

The primary responsibility of the Manufacturing team is to provide TuffEnuff manufacturing related information



The manufacturing team has to provide the estimated delivery date of the order to be displayed on the website.



Provide current order status like manufacturing in-process, completed, or out for delivery to the sales team as well as the client.

HR Team – This team help to recruited skilful people who can be an asset for the company and ensures other human benefits of the employee. After website publish company want to update their information regularly and generate the report. So, need more technical skill full people within this organisation. Who can manage the website as well as trained all departmental staff time to time. The HR team will look after this issue afterwards. Trained up existing people, arrange training for existing staff and recruiting new staff those are tech savvy. The tasks of the HR Team for TuffEnuff project are: •

Sales and Marketing team – One of the main stakeholders around the organisation is the sales team. They are generating more sales to retain a significant profit for the organisation. They are responsible for designing the upcoming marketing offer to generate sales. They know what customer wants and how they want. This team will contribute to information gathering, planning and design and review or testing stage.

IT Team – This team ensures day to day support to the sales team to build a useful and informative with a promotional website for the company. In testing and delivery stage, they will contribute to this project directly. They also shared their existing information beforehand in the information gathering stage. As TuffEnuff is expanding its business and making it online, there are many responsibilities that IT Team holds. These include: • •

Website management of TuffEnuff that includes buying, selling and leasing of trailers. Overlooking of website front-end that includes an interface, like the look and feel of the TuffEnuff website so that the customers get a good and easy to use interface, that is secure and speedy. Maintaining the back-end processes, including the functionalities of the website. Ensuring there are no technical issues on the website. Implementing high security to protect the customers’ sensitive data as e-commerce websites are very prone to cyber-attacks, Page 8 of 17

Working to minimize the risk of the happening of any glitches or error in the website. Carrying out various digital marketing campaigns, Search engine optimizations etc. to increase the visibility of the website to the targeted audience.

Project Scope This project will consist of creating a web-based dynamic e-commerce website. The project will be completed by December 2019. Modules of the application will include a simple trailer design tools, where customer can add additional feature or trailer option, and place the order and confirm their payment. Stage one includes the development of the website; the customers can view a comprehensive brochure or product catalogue having more examples of customised trailers wherever they want. They will be able to select additional features on the top of basic trailers. Stage two includes process of placing the orders online and will be able to make the payment online. The sales professional will be benefitted as they will be able to manage the sales centrally; they will be able to generate different types of sales report with a single click. TuffEnuff will be able to set-up the new dealership or franchise effortlessly with little investment.

Business objectives and expected outcomes Customised trailers have become more popular recently, particularly with tradespeople and motor sportsmen. TuffEnuff wants to hold that market by online dynamic ordering. A determined push into the customised trailer market to provide solutions for people who want some individualisation of their trailers. To expand the sales outlets through the opening of dealerships. After stage 1, with the development of the website, the customers can view a comprehensive brochure or product catalogue having more examples of customised trailers. They will be able to select additional features on the top of basic trailers. After stage 2, They will be able to place the orders online. They will be able to process the payment online. The sales professional will be benefitted as they will be able to manage the sales centrally; they will be able to generate sales report in one place. TuffEnuff will be able to an arrangement to open a new dealership or franchise with low investment. The company do not have to pay operating cost or staff cost and establishment cost like a branch office. The company need to train up dealer or franchise nominated representative about the website and other related procedures. In a few words, automation of the order management process reduces the investment of a new outlet. The last two-year sales growth of the business is 40%. Expected sales growth is 60% one year after deployment is done.

Available resources WebCraft is managing the hosting and maintenance of the current website. Jenny Smith will keen to take the challenge to develop the new look of the website with the help of present IT team. To Design and develop modern, approachable websites in the primary stage of the project Dreamweaver application will do the job. Limited skills and experience: Limited skills and experience of the office manager and IT team members will be tough to develop the new site.

Specific Requirements Functional Requirements Stage-1  Product information requirements: Include informative options on product pages like high-res photos; indepth product descriptions; zoom-in and 360-degree rotation capabilities; the power to look at the merchandise in numerous colors. By providing the maximum amount of product detail and knowledge as attainable, you decrease the prospect of returned items and increase the chance of happy and satisfied customers.  Search and Filter: Some customers grasp precisely what they're trying to find — that's why it's essential to produce them with a centred searching approach with searching and filtering practicality.
