ITSU3007 Activity11

1. Briefly explain the process of how are projects and change requests analyzed and approved for implementation? Think about pay-back period and cost-benefit analysis. ANS: A change request process ensures that all those involved with the project understand what the change is, why it's happening, what it will mean for them specifically, and how it will impact the project overall. Remember, communication is key when it comes to successful project management. In some cases, a stakeholder may be fine with the change and its associated costs. But often, it can be just as much of a surprise to them as the original change request was to you! Be thoughtful, and spell out all the steps the change will require—making sure to get specific about potential project schedule and budget impacts. That way, everyone can agree on next steps and any added costs before you proceed with the work. Before the change can be approved, the Project Manager will lead the project team to analyze and document (on the form) the impact of the proposed change. The approver should be the sponser of the project. Instructions 1. Requestor of the change should fill out Section 1 and 2 of the form and submit to the Project Manager 2. The Project Manager will assess what type of investigation is required to determine the impact of the change. If the investigation will take significant time (i.e., will take resources away from project deliverables that could impact timelines), an approval from the Sponsor should be obtained in Section 3 to undergo the investigation. 3. Complete the investigation to analyze the impact of the change. This may require time from project team members. The Project Manager and/or Requestor can now proceed to fill out Section 3 (impact) 4. Submit the change request form to the sponsor for final approval of the change. The sponsor may choose to discuss the change with governance before approving. 5. Sponsor approves or rejects the change. 6. File the change request document in the documents repository your team is using. Next Steps For an approved change, update project management plan, RAID, schedule, and any other documentation that may need to be updated to reflect the change. Communicate the change to stakeholders, including team members and governance.

2. Your company has a need for some specialized equipment that can be leased or rented. If you rent the equipment, the cost is $100 per day. If you prefer to lease the equipment, which is usually for a longer period of time, the cost is $2,000 (non-refundable payment) plus $50 per day. What is the breakeven point where renting and leasing are the same? ANS: Let X be the number of days required to breakeven For renting Cost per day = $100 Hence total cost till breakeven point = 100X For leasing Cost/day = $50 Fixed cost = $2000 Total cost = 2000 + 50X Hence at break-even point, 100X = 2000 + 50X 50X= 2000 Break Even point in days, X= 2000/50 = 40 days Break Even point in terms of cost = 100x = 100x 40 = $4000

3. What is the purpose of a project charter? Why can a project charter serve as an agreement or contract? Why is a project charter a useful communication tool? ANS: The purposes of a project charter are: A project charter formally outlines a project in an organization. It covers the scope of what the project will achieve, as well as the people involved, milestones, budget, and possible risks. It also provides information on control mechanisms, and communications plans and responsibilities of the project team. It formally authorizes the existence of the project. Formally, Project Charter is an agreement between an organization which is committed to producing a product/service and a customer which requests and receives the product or service. Practically, Project Charter is an activity planning tool that helps set obligations, rights and privileges for all the groups and individuals involved in the project. Project Charter should not be in conflict with Project Business Case and other documents and provide the project team with a single and consolidated guidance on how to perform project tasks and activities. Project Charter gives quick references and overview of the project in whole. Project Charter is to be created on the Project Initiation Stage and implemented on the Project Planning stage. When Project Charter is designed and agreed, it is usually not changed or modified throughout the project life cycle. A Project charter recognizes & authorizes the project within an organization and authorizes the start of the project whereas a Contract is a legally binding agreement between two different organizations (the Buyer and the Seller). It can also be a useful tool for improving communication in an organization that suffers from poor or unprofessional communication.
