Dunkin’ Donuts: District Manager 2 Introduction

Dunkin' Donuts has become very successful since the founder, William Rosenberg, opened his first restaurant named the "Open Kettle" in 1948 and was renamed in 1950 to Dunkin' Donuts. The brand is now known as just Dunkin’. Dunkin' started small while maintaining a simple structure with a simple organization chart. Dunkin', at the time, was a strategic apex, where the employees reported directly to the owner Baack, D. et al.(2014). The majority of the small restaurants that with

this type of structure.

Dunkin's success can be attributed to the dedication of the hard-working employees at all levels and the organizational and job structures that are instilled into each employee and applied through the years that Dunkin sees fit for business growth. This case study will detail the job and organization designs I intend to implement as the new district manager and contribute to the brand and the community.

Job Design

At Dunkin’ Donuts, the job design that is used is a three-step process. The process uses a job analysis, job description, and job specification. Job design usually takes place when a manager works with the human resources department to determine the tasks needed to complete a job, the people who will be completing the job, and the eligibility requirements for the candidate selection criteria. It is broken down into a job analysis, job description, and job specification. Baack, D. et al. (2014).

To staff employees at Duncan donuts, it is a three-step process. The first step is job analysis, and the human resource and departmental managers oversee assigning the positions that will determine specific tasks the employees will be completing. The job titles such as bakers and crewmembers, job levels like shift leaders, a position summary, specific job duties and responsibilities, working conditions, potential work hazards within the workplace, necessary machinery equipment, and other tools used, and how the position (s) fit within the budget Baack et al. (2014). The job analysis also develops the standards for the measurement of performance of the employee by either observation, critical incident technique, or interview.

As I transition into my new position as the new district manager, I will be recommending five to eight employees on shift for every location within the district. The regular shift will consist of a manager, shift leader, bakers, crew members, and a possible delivery driver at some locations. Each day, the manager will designate one crew member conducting inventory two times per shift. The best way to conduct this is to use a running inventory and inform the manager when items are low. All employees will adhere to the directions of the food items when preparing. It will be the manages responsibility to maintain daily logs for inventory and temperature charts for temperature checks of the refrigerated and frozen items. The employees will be responsible for the food production, distribution, the sales process, including the drive-through and sanitation of all workstations, seating areas, freezers, and refrigerated cabinets throughout the workday. Each member must be qualified to work in all functional areas of the restaurant, like the

Dunkin’ Donuts: District Manager 4 cash register, prepping the doughnuts, brewing coffee, and preparing the frozen meals. All opened items, such as open containers of ice cream, will be covered and labeled with item, time, and date. During peak time, all employees will need to be at their designated stations. Employees may be delegated to work specific areas. The manager will rotate all employees to a different station every week to reduce the repetition of a task and reduce boredom. The training also will act as professional development for the employees. During the slower times, sanitation is a priority, including the restroom. There will be designated times for lunch breaks. Everyone will be courteous to each other and especially to customers. Customers Managers will need to lead with a focus and manage for results.

Job description

Using the current job description from Dunkin Donuts includes a formal task list for job descriptions that allow applicants to review what the actual job entails Baack, D. et al.,(2014). Also, it lists all the working conditions the employees may be exposed to and gives the applicants the information of the list of tasks, duties, and responsibilities associated with the job, similar to a standard order of operations. The job specifications to inform the applicants identify the eligibility requirements such as state food handlers permit or card and sanitation training such as serve safe, which is common in the food industry, the employee can attain at the same time. Employees must have valid driver's licenses if the employee is a delivery driver.

My new job description from Duncan Donuts as District Manager is the following: “To develop store managers who exceed guest expectations, Continued sales

I will ensure that all employees are trained to the sanitation standards and adhere to all of the food safety through the risk factor surveillance system (RFSS), Execute and implement equipment maintenance schedules,

speed of service reviews, Implement incentives to improve the speed of service and product quality, Ensure all stores are adequately staffed with quality team members and shift supervisors, oversee monthly payroll budgets, oversee scheduling and training of individual shops of 75 to 100 employees, maintain management depth by regularly planning for succession, actively recruiting and critically selecting internal and external Store Manager candidates, oversee production and distribution of all baked goods to shops in the district vehicle safety, manage the district P&L including the cost of goods sold and operating expenses, follow up on all customer and employee complaints and ensure necessary corrective measures at the store level, familiarity with excel, word, QuickBooks (required)” FMS, (2021).

Job Specification

Using the current Job specification set forth by the human resource department identifies the eligibility requirements and qualifications needed to perform the job. The hiring manager and the human resource department will review the applicant's level of education, working experience, and any technical skills the applicant may have. As we are interviewing the applicant, we may understand the person's personality characteristics for being confident and a compelling speaker, which will be essential to communicate with the customers. Organization Design

The particular franchise district that I will be managing will be decentralized and will remain organic. Being organic refers to the Dunkin' Brands strategies that align with the Dunkin' Brand's organizational mission and objectives to be always the desired place for great coffee beverages and delicious complimentary doughnuts baked goods to enjoy with family and friends.

With Dunkin's organic structure, there are few rules or an extensive ranking system that enables an informal, authentic relationship between the employees. There are three organizational levels, from an entry-level employee to the manager, relationships are on a first-name basis, thus making it an informal atmosphere. These organizations can quickly adapt to sudden changes Baack, D. et al., (2014). It is essential to implement a decentralized structure. The possibility of many restaurants in the same geographical area will allow a manager to have rules in place for that individual franchise. At the same time, keeping with the primary Dunkin' Brand name and relying on a business model based on a product category of coffee and doughnuts Chowdhury, R. R. M. (2020). The brand will continue to accept online orders through the Dunkin' mobile application. We

As the district manager, I may conclude that the Dunkin' Brand district consists of a distinctive organizational and job design that can support constant professional development for the staff members. Ensuring this will build the staff member's confidence that the customers will continue to appreciate and expect. The district will continue to work with the human resources department to have well-thought-out plans during the recruitment and employment process. The criteria for the applicants must meet the ethical standards of the Dunkin' Brand. The district will constantly strive to improve job satisfaction, which may increase retention rates while creating a positive and safe working environment.
