Mini Case Study: System Development and Implementation a. List the steps Jocy should have taken during while designing the AIS to ensure that end-user needs were satisfied. The system design process is unstructured and non-binary so the software developers should have experience in developing large-scale system In designing the AIS, there are steps to follow to ensure that the end-user needs were satisfied. As jocy is new to aimp314 tech and will create a new system out of the existing system. ➔ She should not assume that her experience from her previous system work will work out as fine as to aimp314. ➔ Jocy being not familiar with how the existing system works and on the things that needed improvements, she should form a focus group discussion (FGD) composed of the end-user of the company to ask for feedback about the existing system. ➔ She should give importance and be open to suggestions, and opinions of the end-user to create a standard that will determine the features the new system must-have. She should also document everything regarding the creation of a new system. ➔ There should be no omitted data in documentation. ➔ Explore the existing system procedures, specifications for needed improvement that will characterize the future data or information it needs by surveying and asking for suggestions from the end-user. ➔ Narrowing down the units based on the limitation the existing system has and its problems in order to solve the problem in the new system to build. ➔ Clarify requirements, narrowing it down to the specific goals in order to focus on the main feature the new system must have. Jocy should not be confident that her experience from her previous employer will work fine for AIMP316 while neglecting the end-user constructive perspective regarding the system and not attesting end-user approval. ➔ In controlling the system, Jocy did not adequately understand the role of the end-user or even the departments involved in changes that may occur in implementing the system over time. It includes the testing of the features and the interface of the system to see the possible errors that may surfaced before conversion and implementation of the system. ➔ The suitable development policy should first identify error on trials rather than solving it once it is implemented. ➔ Backup procedures shall be made available in order to ensure implementation of the new system. b. Identify and describe the weaknesses in Jocy’s approach to implementing the new AIS. How could you improve the development process for the remaining parts of the AIS?

WEAKNESS: Neglecting the end-user feedback regarding the existing system to improve it to the new system she is employed to. RECOMMENDATION: Forming a focus group discussion to encourage participation and feedback from the end-user on the areas that need improvement in the development of the system until end-user approval of the system. WEAKNESS: Not utilizing proper project management in system planning and development RECOMMENDATION: Invest in a feasibility assessment that comprises technical, economic, operational, and legal studies for identifying and selecting system development projects to utilize. WEAKNESS: System Implementation is corrosively unattended resulting in rough conversion flow, complex instructions that lead to untrained personnel, and low user-acceptance. RECOMMENDATION: Post-implementation Evaluation review must be conducted to determine whether the project is producing the expected benefits to AIMP316. Focus on documentation for users, management, and the data processing department. Prepare suitable training of the personnel to ensure proper implementation of the new system. WEAKNESS: Unable to conduct system trial before implementation RECOMMENDATION: Make sure that a test-run will commence in assessing the readiness of the system to be implemented in terms of processing, interface, and system infrastructure (control, information content, and mm).

c. . Identify and describe three ways Jocy violated internal control principles during the AIS implementation.

❖ Even though the system is not entirely changed, the procedures, monitoring, and control of the system are substantially



changed in a disorganized manner thus, inefficient to AIMP316 tech. The system is subject to failure because backup procedures are not implemented. There are omissions in system documentation including the programming and operating part therefore, the system conversion happened before the documentation is complete.
