Project Support Officer, Communications (Suburban Hubs) The Project Support Officer, Communications will contribute to the successful design and delivery of the VPS Suburban Hubs project, which sits under Program 1 Opportunities workstream. The Program 1 Opportunities workstream is being led by Public Sector Reform and reports through to the Secretary of the Department of Premier and Cabinet. Reporting to the Program Lead, the Project Support Officer will play an integral role by providing communications support and coordination to the project team to ensure the timely delivery of the Suburban Hubs project. The successful candidate will possess well developed planning, organisational and communication skills and experience working as part of a team in a complex and time-pressured environment. The Governance, Policy and Coordination group The Governance Policy and Coordination group is responsible for public sector governance, performance and reform, cabinet management, community security and emergency management, developing community resilience, intergovernmental relations and strategic communication and protocol.

The Public Sector Reform Division The Public Sector Reform Division is responsible for leading and coordinating work on issues relating to the performance and reform of the public sector, including workforce reform, outcomes and evidence reform, and public sector innovation. The division supports the Premier, the Minister for Government Services and the Secretary as the head of the Victorian Public Service.

The Public Sector Innovation branch The Public Sector Innovation branch at the Department of Premier and Cabinet works to enable and accelerate innovation across the Victorian public sector by: 

Providing cross-government innovation training, events, and networking opportunities through the Innovation Network



Supporting behavioural change capability across government through the Behavioural Insights Unit



Providing funding and other support for innovative projects across government.

Remote Working Transition (RWT) Project The RWT project is focused on post-crisis reform opportunities for the Victorian Public Sector workforce. A key objective of the project is to support a whole of Victorian Government (WoVG) approach to transitioning into a hybrid or dispersed working environment during the COVID Normal period. Key activities include coordination of WoVG approach to return to workplace planning, implementation of reform opportunities, delivery of VPS Suburban Hubs, and support for staff and managers. This program of work is being led by Public Sector Reform, Department of Premier and Cabinet (DPC) under the leadership of the Victorian Public Sector Commissioner. Day-to-day reporting will be to the team leader, DPC.

Key Accountabilities 1. Provide a range of communications functions to the project team in the delivery of the Suburban Hubs project including event administration (creation, monitoring and reporting on attendance list), templates for key documents such as newsletter, messages, event invitations (creation and maintenance), maintaining systems supporting networks, events, learning and development and news, and managing version control (branding documentation, Hubs policies, etc). 2. Support other critical administration for the Hubs including monitoring registration by Hubs users, monitoring the completion of induction and training by Hubs users, processing applications by potential Hubs users. 3. Engage Hub users and address feedback through Innovation Network and other channels. 4. Assist in the preparation of reports, status updates, briefs, submissions, and other communication materials (in collaboration with the Senior Project Officer) and maintain proper recording and tracking of documentations in accordance with DPC requirements. 5. Build and maintain collaborative working relationships with a range of internal and external stakeholders to ensure the timely, appropriate, and efficient support to enable effective project delivery. 6. Other duties as directed that are not listed in the position description, but which are consistent with a position of this grade and skills requirement.

Key selection criteria 1.

Advanced administration skills using a range of software programs to produce a range of materials and ability to coordinate the distribution of materials in a time pressured environment.

2.

Demonstrable written and oral communications skills, both formal and informal, with confidence in communicating with a wide range of internal and external stakeholders at junior and senior levels.

3.

Proven analytical, conceptual and detail-focused problem-solving skills with sound judgement and capactity to suggest solutions to the project team and stakeholders.

4.

Experience in producing a range of written documents (briefs, submissions, letters, reports) providing clear information and using language appropritate to the auidence.

5.

Ability to build strong working relationships with internal and external stakeholders.

Desirable requirements Demonstrated proficiency in Microsoft Office 365 (Word, Excel, and PowerPoint).
