Steps of Refund Process 1. The customer faces the problem in the product. 2. Then the customer request refund from the seller of the defective product. 3. And now the decision is involved around the staff whether to accept the request or to reject it. 4. After that seller will create return label and send to the buyer. 5. Based on that return label, customer will send that product back to the seller. 6. If the product is received to the merchant then the process will go further otherwise the refund will get cancelled. 7. Now the seller will see any other option on product that benefits both business and user need. 8. If it will be acceptable to the user then the product will get exchange with the new product. 9. The product will be ready to deliver. 10. And the customer will get email notification about the delivery. 11. Now in the alternative choice, the credit memo will be sent to the buyer from a seller. 12. In no time, the customer receives a refund back on his account. 13. The notification will also be sent to the customer about his payment.

Three-state workflow – This workflow is used to manage business process such as tracking customer issues or any project tasks. The three-state workflow will help the organization to track the refunding process of a customer and through this tool, staff will send an email notification to the customer about the approval or the rejection of refund.

Reasons for Selection of Workflow 1.) It will track the customer refund process through three states so that the customer gets notification about the status of refund. 2.) It will reduce the human error in refunding process, as more of the financial process is automatic. 3.) The workflow process will be quick as it will save your time and money. 4.) It increases productivity because no paperwork is involved in the process and repetitive work is now handled by the workflows.

Working of Three-state workflow The three-state workflow is required to track the issue in an organization through three states which are active, ready for review and complete. In each and every transition, workflow automatically assigns a task to the person and when the task is completed, it updates the status to the next state. By default, three state workflow works with the issue tracking template. Apart from the issue tracking list template, custom list can also be used, it contains choice columns with two or more choice values and those values in this column act as the workflow states.

In the SharePoint, when the Three-state workflow is created, the task for the user is automatically created and team member will receive a task and he/she will complete the task. For example, if a team member receives a work to do catering plan then he will contact catering company to develop a plan. After that plan is drafted, then the workflow task will be mark as completed. Now the event manager will approve and review the plan. Now the plan is reviewed, and status is changed to complete from ready to review.
