● Prospecting: The sales team of the Four Seasons Hotel come up with different ways for prospecting new clients for their hotel. The process of prospecting is done through various channels such as social media (LinkedIn, Twitter), Loyalty programs, sponsor events, networking events, government agencies and through many more sources. Four Seasons sales team worldwide also depends on instruments like brochures, fact sheets and customised experiences to promote every part of their sales cycle. Referrals from existing clients and networking or gala events also acts as a link between the hotel and new clients.

● Qualifying: It is necessary for our sales team to outreach potential clients which will not only bring profit to the hotel but create a relationship between the client and The Four Seasons hotel for life. Upon prospecting, we have chosen University of Toronto as a qualifying and potential company for the hotel. UofT is one of the world’s great universities and is the global leader in research and teaching. We chose UofT as our potential client as it collaborates with other leading universities, research institutes and is centre of various roundtable and research conferences. This university also organises events where they invite international delegates from around the world and Four Seasons hotel can provide UofT with great meeting and event spaces as well as rooms for family members of students during the graduation ceremony.

● Approach: In order to get UofT authorities’ attention towards the various types of meeting and event spaces along with different types of rooms which will be ideal for holding conferences and networking or gala events, the Four Season hotel team will send an invite to the university to visit our hotel and answer any enlighten them about the background of the hotel.

● Pre-planning Presentation: UofT is home to the world's most talented thinkers, inventors, innovators, and educators who are advancing knowledge and making critical discoveries for a healthier, more sustainable, prosperous, and secure future. UofT has partnered with several universities across the world and frequently has international delegates for major research conferences and events. As it is the number one university in Canada, it represents the country at international level.

● Presentation: Four Seasons Hotel not only provides spacious meeting and event spaces but also has various recreational facilities including, spa service offering massages, hair along with transportation service. The hotel also provides a private transport from Pearson International Airport and Billy Bishop City Airport where Limousines and taxis can be arranged by contacting the concierge. There are 17 meeting spaces in the hotel with experienced staff and services like superior sound systems, video conferencing, event archiving projection specialists, event consultation and event archiving which is provided by PSAV. suggestions about the setting of conference halls are made and the client gives their outlook.

● Handling Objectives: All questions raised by the client will be answered by the sales team of the Four Seasons. The team will try to clarify any possible confusion so that there is nothing left out. The client gives disclosure about the room rates or conference hall price and objections based on suggested room types. The team certifies and demonstrates the service and products offered by the hotel have the highest profitability in the sector. The exceptional service and benefits given to our guests are worth it.

● Closing: It is the responsibility and mission of the hotel to satisfy the needs of the customer. This will help in strengthening the relationship between the hotel and the client. Once the connection becomes stronger, interest of both the parties becomes convergent. It is necessary to establish trustworthiness and leave no questions of the client unanswered.

● Follow-up: In a few days, a follow up call or email would be made by the salesperson asking about the experience of the client with the hotel and what else the hotel can improve in their service to make their next stay memorable and strengthen the relationship. The sales team will send out personalized gifts and offer discounts on the client’s next visit, this will make sure that the client will likely return to our hotel in the future.

Hotel revenue is generated from three major sources, all handled by the sales department. These are categorised as follows - Rooms (front office etc.), Meeting/Function and lastly, outlets such as spas and massage therapies.

A front office is always the main hub of the hotel. It is the sales department’s obligation that the coordination between various teams is ensured to handle the guests correctly.

It is the housekeeping department that corresponds with guests’ requests about their room modifications and customisations. Hence, the sales department must keep an eye out on the housekeeping department to further assist guests.
