System Documentation Techniques Any business has accounting information which contains important and infinite data which should be stored and documented in a way which is easier for others to understand. System flowcharts, data flow diagrams and business process modelling notation (BPMN) are few of the mostly used documentation processes. Hence, accountants should be able to read the documentation and also understand the accounting information.

The SOX (Sarbanes Oxley) Act makes the management to take care of the internal controls through the document systems and the auditors of the company to analyse the assessments using documentation for better performance of the company leading to future changes and developments.

1. Data Flow Diagram: A easy method which requires the use of visuals to explain detailed information in the documentation system. The main focus areas of data flow are its process, source and final position of the data and data storage. To create a data flow diagram, it is necessary to understand what are we presenting in it. Secondly, the relationship is portrayed by showing the ins and outs of the system in an upper-class detailed structure. This is important to find out the element needed to present the process. This process should be continuous, easy to understand and to make sure the upper-class processes are detailed. Lastly refining, reviewing and updating of the DFD are done through modification so that it is easier for the readers and users to understand. 2. Flow Charts: Flow charts are graphical and requires use of analytical technique which is to used descriptions and definitions to portray information in a legitimate, brief and clear way. The inputs, outputs, processing data, data flow and storage are explained through definitions and details in the information system. Flowcharts show both the manual and automatic process by showcasing firm points in control. To create a flowchart the first step is to identify what to represent. Then the elements and the business processes are discovered and embellished. The elements are then organized in a left to right or top to bottom manner by their illustration.The completion is done by editing, reviewing and refining to make it easier for the users to understand. 3. Business Process Diagrams: Visual techniques are required to describe the various activities and steps of the organization. It portrays the different

processes as well. It identifies the business process and activities by predicting what is going to happen and how it is going to happen which makes it easier for the users to understand. Last but not the least the BPD diagram shows instances of the department’s entity and also the locations....
