Unit 4: Managing an Event...

Description

Unit 4 P6 D2 P6 - Produce a detailed plan for your chosen event using planning tools, detailed budget and consideration of risk assessment and contingency planning. D2 - Evaluate and justify the feasibility plan, tools, budget and risk, making any required contingency adjustments. Aims and objectives: Our main aim is to win the competition and make the most profit (which goes to our chosen charity) beating all other groups. To do this, we made a lot of arrangements and discussions to make sure that our event is well prepared and enough to attract a lot of people. Budget: Each member of my group gives £5 each to buy products such as snacks and drinks. But the budget is not enough to buy fresh muffins which is an idea not successful. Resources: Our main resource is the playstation which one of our group members brings it in. Another important resource is the television which is provided by the college, so we need to be careful and treat it well. The other resources such as chairs and tables are also provided from the college. Venue and facility access: The place where this event happens is in the corridor of the college. This place is very common for all the students and is very attractive and all the students can access it. Legal constraints (Health & safety) and Risk assessment: To make sure that students are aware of the food allergies, we made a poster saying that you should read the ingredients and allergies on the product before buying them. Insurance requirement: On our event proposal we are based on college’s equipment and stuff, so we have no insurance, but we need to make sure that students treat the television well which is provided by the college as well as the playstation. Allocation of team roles: Silvia is our group leader and planner, Danyal is the accountant and he brings the playstation, Muz is the one who brings drinks and snacks and the marketing

responsible, and I make the posters and bring snacks, and my role is the health and safety. Methods of communication: To discuss this event me and my teammates made a snapchat group to communicate so that we can update if there is a change or a new idea. Budget for event: Goods

The main reason we chose to bring a playstation in college is because we knew we are not going to fail at any condition and there is definitely going to be profit for this event, and to make it look better we also added some snacks and drinks. Me and my group did research about past events done by older students, and we found out that they also used this way to raise money for the charity and they were very successful My plan was good as me and my group mates made considerations about the risks and hazards, because this factor is very important for all the events. Food allergies is also something that we highlighted to all the students just to make sure that they are aware of knowing what they are going to eat. The budget is also good as we make a very good profit. The prices of the snacks are cheaper from the one of the college’s shops, as we can attract more people to buy from us as they can save money and time instead of going somewhere else. Also the deals are very convenient for students as they can be interested in eating or drinking while playing. This will also increase the chance of my group to win the competition between all the groups about who makes more money. The wost part of our work is that the budget is not enough to buy other sweets or snacks, because firstly we planned to buy fresh muffins and chocolate bars, but the budget is not enough to buy all that stuff.
