Organizational overview: Apex Footwear Ltd. (AFL) commenced its business on January 04, 1990. The Company is an export-oriented leather shoe and components manufacturer, producing and selling leather shoes, other leather products and accessories (socks to bags to shoe care products) in the international market, mainly in the European market. It also sells its products in the local market through its own outlets in the name and style of “Apex”. It has nine in-house brands, namely Venturini, Apex Men’s, Sprint, Maverick, Moochie, Nino Rossi, Sandra Rosa, Twinkler and School Smart and one famous German therapeutic footwear brand Dr. Mauch as well as different accessories. The Company’s factory situated at Chandra, Kaliakoir in Gazipur with total 1,49,000 sft. of factory area complied with Global Standards of Footwear Production. The Company imports machinery from Germany, Italy, and Taiwan. The Company uses leather from its own tannery (leased from Apex Tannery) and other materials like Shoe Lace and Welt are imported. On an average, 70% of its total revenue generated from export sales mainly from Germany, Italy, France, Switzerland, Austria/Slovenia, Czech Republic, Spain, Sweden, Netherlands, UK, Japan, USA etc. “APEX” means the peak or the zenith. Since 1975 we have strived to live up to our name.

Sales and Marketing module: Different steps for this module: 1. Order multiplication process In this step, order no. and quantity of the product is inserted.

2. Accessories work order file Here garment accessories are ordered and PDF of this form is sent to the suppliers.

3. Order detailed form In this form, the garments order which is received from the buyer is placed. Thus, different departments of the factory like production, inventory control, Finishing and Packaging, audit Process etc. can check the order any time by entering the system.

4. Testing bill submit to the audit Here the garments testing bill is inserted to submit to the audit. Besides, the accounts can also check the bill from here.

5. PI order This is the Proforma Invoice. This is for the payment to the supplier. Here PI no. is inserted which is obtained from different suppliers. Then, its hard copy is submitted to process for the payment.

6. MO sheet MO form is the move order. Production team uses this MO sheet and after the approval, the material is issued to the requester.

The Problem before ERP in Apex: Before the ERP system, there was a flow of information in different departments but the integration was missing. There was no connection between the different operational areas of the organization. The sales and marketing department didn’t have proper information about the product or manufacturing department. Again, the manufacturing department didn’t know which raw material is supplied by which supplier and if any defect is found out, they didn’t know who to blame. Thus, instead of the streaming of information, there was a huge gap between the different functional areas.

Benefit after ERP in Apex:    

All the information available is accurate and obtained in real time Productivity increased, labor cost and overtime work is reduced Transparency in the flow of information among the functional areas ORACLE focuses more on quality, new design and comfort of the footwear

Position of Apex before ERP: Before ERP, the organization was in Q1 position. That means, it had a small gap, ‘small r’ in the gap analysis process. Hence, it needed a small change in the software as well as in the business process. Thus, it was a good fit for the ERP implementation.

Process flow after the implementation of ORACLE ERP: 

Effective project planning and forecasting: ORACLE helps managers to count what amount of shoes to be manufactured and the date to stock out. Thus, it helps in the effective planning of the manufacturing process. Document of indent: Indent is a request document to procure material for manufacturing. The team goes to purchase the material when it is approved by the store manager. Quotation request: ORACLE sends a request for quotations to various approved supplier and finally the best supplier is selected considering cost, time, shipment, quality etc. Making PO: The purchasing department makes purchase order (PO) while the quotation is finalized. This PO is then forwarded to the finance department. Receive and delivery of the material: The ordered material is received, examined and delivered to the store. The receipt is generated in ORACLE to ensure the successful delivery. MO request: the material is issued by the move order (MO) request. After the approval of the MO request, the materials are finally issued. Invoice: invoice is created by ORACLE and sent to the finance department for the entries in the general ledger (GL).
