Welcome to Macquarie University This booklet contains step-by-step instructions on how to enrol in units and register in classes online. Online Enrolment will commence in January 2015 and will remain open up until 20 February 2015, giving you an opportunity to learn about the enrolment process, think about the units you would like to enrol in, and to receive on-campus support if you require additional assistance. Before you attempt to enrol you must have: 1. Accepted your offer 2. Completed your eCAF Form and SA-HELP Form (if applicable) in eStudent. Once you have completed these steps you will: 3. Be admitted to your course by Student Administration. You will then be eligible to enrol and should follow the steps in this booklet to successfully enrol in units and register in classes. On-Campus Support If you would like additional assistance or information about how to enrol, your degree, what units to study, or what major to choose, coming on campus for an enrolment-related activity might be something that you consider. Description General information about university, including university terminology, types of units, focus areas and how to use the handbook. Also explains how to fill out a program form. More specific information that is tailored to a degree and/or major. May include an overview of the degree, required units, options available, potential careers and a Q&A session. Individual assistance in the E4B computer labs to help you enrol in units via eStudent and register in classes.

If you intend on attending any on-campus support sessions or activities, please register by revisiting the Enrolment Registration webpage. Log in with your student details and select the information sessions you would like to attend. You will then receive an updated program registration by email with the dates, times and locations of your on-campus enrolment activities.

Enrolling in units 1. Log in to eStudent You can access eStudent at https://student1.mq.edu.au. If you are logging in for the first time, please click on ‘Click here for login assistance’ and follow the instructions. If you have not logged in before, your initial password will be your date of birth, formatted as ddmmyyyy. If you have accessed eStudent previously, enter your Student ID and current password.

2. Check your eCAF If you are new to your course and have submitted an eCAF, the University must approve it before you can enrol. To check if your eCAF has been approved click on My Offer → Submit Commonwealth Assistance Form (eCAF). The status of your form should be ‘Approved’. You need to have approved funding before you start enrolling into units. If you are a domestic student and your eCAF has not been approved or you have not yet submitted an eCAF, please read the instructions on completing an eCAF. International students are not required to submit an eCAF.

3. Accept the Terms and Conditions Select My Enrolment tab and click on the left menu option ‘ENROL in Units’. If this is your first time enrolling in your course, you will be directed to a page where you must read and accept Macquarie’s Terms and Conditions prior to enrolling. Click on the link ‘Read and Accept Macquarie’s Terms and Conditions’. Once you have read the terms and conditions, please tick the box ‘I accept these terms and conditions’ and select ‘Submit this form’. You will be able to proceed with your enrolment.

4. Select your units Your study plan will display the required units and option sets for your degree. Required unit Option set If a unit is unavailable for enrolment, the checkbox on the right hand side will not be selectable. This could be because:  the unit is not available for the study period; or  the enrolment quota for that unit has been reached; or  because the pre-requisites have not been met.

If you need to enrol in a unit with a pre-requisite, please submit a Special Approval (waiver) request. You will need to set up your One ID by visiting the First Time Login website. You must then login to ask.mq.edu.au to submit a Special Approval (waiver) request found on the left hand column.

If a unit is offered in more than one session, or more than one attendance mode (e.g. composite, internal or external), you will see a drop down box appear under the unit title. You can use this box to select your preferred session/attendance mode.

If a unit has only one offering, the availability details for this will be displayed by default.

4.1 Choosing a required unit To choose a unit that is a required unit, click on the checkbox to the right of the unit.

4.2 Choosing a unit from an option set To choose a unit from an option set, click on the ‘Choose’ link beside the relevant option set.

The new page will load where you can select either a unit from a drop down list and click ‘Search’ or ‘Choose any undergraduate unit’, type the unit code in and click ‘Search’. The unit you have searched for will appear at the bottom of the screen.

To add this unit to your study plan, click on the link ‘Add the selected unit as a planned unit available for enrolment’

5. Confirming your enrolment When all of the units you need to enrol in appear on your study plan, tick the check boxes to the right of each unit and click on the ‘Enrol into selected units’ link at the bottom of the page.

This will take you to a new page which shows an overview of the units you are enrolling into. You will need to click on ‘CONTINUE TO ENROL’ to complete your enrolment in units.

When you have successfully enrolled in your units, it will take you to a confirmation page with a green tick stating ‘You have successfully enrolled…’. You have officially enrolled into your units and can now view a list of your enrolled units click on the ‘Check Unit Enrolment & Email Timetable’ link on the left.

Registering in classes A class can be a lecture, tutorial, practical or seminar. Some distance (external) units may need to register for an on-campus session. Timetable information can be found at http://www.timetables.mq.edu.au. 1. Go to the My Classes tab which will display your enrolled units with timetabled classes. 2. In the dropdown box near ‘Units for’, select the session you are making your timetable for and click on the ‘Refresh’ button. This will show all your currently enrolled units. 3. Click on the ‘Register’ or ‘Change’ button to see all the available classes for lectures and tutorials for an enrolled unit.

4. Tick the checkbox on the class that you would like to register in, and then click on ‘SAVE’. The classes that you are required to register in are listed at the top of the page. You will not be able to register in classes that are full or unavailable. If your classes are full, click here. Ensure you have registered in all classes, including lectures and tutorials for the unit.

The traffic light indicators at the top of the screen provide a visual representation of class registration status for each enrolled unit.

5. To swap classes, tick the checkbox on the preferred class and click on ‘SAVE’. 6. You can click on the ‘PRINT’ button to print the timetable displayed, or select ‘Check Unit Enrolment & Print Timetable’ to email a copy of your ‘Enrolment and Registration Advice (ERA)’ to your university email address.

Withdrawing from units You may find that you need to withdraw from a particular unit. This may occur when you decide to enrol in a different unit, if you have accidently enrolled in a unit and if you wish to change your attendance mode to external or to part time. To withdraw from a unit in eStudent: 1. Go to the My Enrolment tab 2. Click on ‘WITHDRAW from Units’ on the left hand column. 3. You will see the units that you are currently enrolled in, tick the box next to the unit you wish to withdraw from. 4. Click on ‘Withdraw from the selected units’

5. Click on ‘CONFIRM TO WITHDRAW’.
