Assisting students to complete their HE Student Checklist This document is intended as a guide for partner staff to use when assisting their students through the enrolment process. The screen shots contained in this document are for example purposes only and are not intended to reflect the inidividual responses student should enter. Links to interactive material can be found on the Student Systems Support web page. Note that domestic students are also required to complete the HE Program Checklist.

Tasks & Holds Tile All commencing students are assigned a HE Student Checklist. This must be completed by the student before they can enroll into classes. The Tasks & Holds tile is located on the student’s home page. The text at the bottom of this tile displays the number of outstanding tasks a student has to complete. Note that, with the recent upgrade to Campus Solutions, a hold is now placed on each student’s record that will prevent them from enrolling until they complete their Enrolment Checklist.

Accessing the HE Student Checklist The HE Enrolment Student Checklist is accessed by clicking on the Tasks & Holds tile. The following screen is then displayed. Clicking on the checklist task will take students through to the first item in their checklist.

Completing the HE Student Checklist Students will be guided through the items in the checklist in a step-by-step process, through to the next item as the previous one is completed. A list of the items in the checklist is displayed down the left-hand side of the screen for students using desktop computers; the list of items also appears on mobile devices but is generally hidden to provide more screen space for the completion of each checklist item. 1. Student Details page – click the Confirm button to progress to the next screen.

2. FedUni Disclaimer – use the scroll bar on the right-hand side of the page, then click the Accept button to agree to the conditions in the Disclaimer

Students will then need to select the Next button to move to the next item.

3. Address Details. Students will need to enter all three address types before being able to move to the next item. When all address fields have been entered selecting the Confirm button will take the student to the next item in their checklist.

4. Contact details. Students will need to enter their email address and contact phone number. If this information is already in the system students will have the opportunity to change the existing information. Selecting the Confirm button will take the student to the next item in their checklist.

5. Emergency contact details. Students are required to provide the contact details of the person who should be contacted in case of an emergency. Selecting the Confirm button will take the student to the next item in their checklist.

6. ‘About You’ page. This is where students confirm that any information we have in the system in relation to their country of birth, year of arrival in Australia and language spoken at home is correct. Any information that is no correct should be amended on this page. Selecting the Confirm button will take the student to the next item in their checklist.

7. Disability. If a student indicates that they have a disability additional questions, asking them to indicate the type of disability and whether support is required, will be shown to the student. Selecting the Confirm button will take the student to the next item in their checklist.

8. Prior Education. Students are required to enter information relating to their educational and other qualifications. This information should be as accurate as possible, as it is information that we are required to report to the Department of Education and Training. Selecting the Confirm button will take the student to the next item in their checklist.

9. Education level of Parent Guardian. Students are required to enter information relating to the highest level of education achieved by their parent or guardian. Note that Don’t Know and No Parent or Guardian are valid responses. Selecting the Confirm button will take the student to the next item in their checklist.

10. The last item students are required to do is to submit their checklist responses. This is done by clicking the Submit button. Prior to clicking the Submit button students have the opportunity to review their responses by clicking the Previous button to move back through the screens.

11. Submission of the completed checklist removes the tasks for the student to complete and the hold on their student record, and they can now continue with the enrolment process.

Tasks & Holds tile Before students can enrol into their classes they must have completed their enrolment checklist. Enrolment checklists are assigned to all commencing students, and to continuing students every 12 months. Students will be able to identify if they are required to complete their enrolment checklist, or if there is some other form of hold on their record, via the Tasks and Holds tile, which appears on each student’s home page. Further information on accessing the enrolment checklist is documented in the Advice to Partners – HE Student Checklist 1827,

Submission of the completed checklist removes the tasks for the student to complete and the hold on their student record, and they can now continue with the enrolment process.

Enrolling as student Access to the enrolment screens can occur in two ways. When students successfully submit their HE Student Checklist the next message, apart from confirming that the student has successfully submitted their checklist, includes the Enrol Now button, which takes the student to the enrolment pages. Alternatively, students can access the enrolment pages via the Higher Ed Enrolment tile.

Enrolment pages/Higher Ed Enrolment tile The default view when students access this page is a list of the classes they are enrolled in for the current semester. For commencing students this screen should appear as follows.

To find the classes on offer students need to select the Class Search menu item from the left-hand side of the page. A list of all the teaching period for which the student is term-activated will then appear. For commencing students the only available option will be Summer (All), 2018; continuing students may see other terms but will only be able to enrol in the term that is about to commence. To continue with the enrolment process the student should select the term in which they wish to enrol by clicking on that term.

Once the term has been selected the search menu will appear. The recent Campus Solutions upgrade introduced improvements to the system search functionality, with students now able to search on a broader range of terms, including course name or a single word, rather than having to know the exact course code.

However, the easiest way for students to search is by entering the code of the course in which they wish to enrol. Note that there must be a space between the subject code and the catalogue number e.g. BUACC 5901.

The search function returns a list of courses which meet the search criteria. Using the course code as the search criteria will return just that course. Clicking on the returned course will select it.

Selecting the course will then return the list of classes on offer for the course at the location at which the student is studying. For partner students there will generally only be one class returned; for other locations multiple classes may be returned. To select the required class click on the > on the right-hand side of the screen.

Students are then required to review their class selection. To proceed to the next screen students should select the Next button.

Once students have reviewed their chosen class it is placed in their shopping cart by selecting the Submit button.

Advice is then provided to the student that their chosen class has been placed in their shopping cart. Students then have the choice of going back to either the Keyword Search Page or the Class Search Results page, if they wish to add more classes to their shopping cart. When all required classes are confirmed as having been added to the Enrolment Shopping Cart students should select the Enrolment Shopping Cart menu item to move to the next step in the enrolment process.

The Enrolment Shopping Cart screen shows all classes the student has selected.

To complete the enrolment process students should select the classes they wish to enrol in. This is done by ensuring there is a tick in the Select box for each class the student wishes to enrol in, and then by selecting the Enrol button.

Successful completion of the enrolment process is as indicated in the following screen shot. A red cross ( X ) will appear beside any class for which the enrolment was not successfully processed.

Students can return to the Class Search function and/or the Enrolment Shopping Cart screen at any time. To exit from the enrolment process students should select the Home icon at the top right-hand side of the page. This will return the student to their home page.

1. How to log in

To begin go to AMS at https://online.mit.edu.au/ams/ and log in using your username and password.

Username Your username is your student ID number with ub infront, for example: ub30011111.

Password Your intial password is assigned to you on registration. You are required to change your password after you first log in to a computer at MIT. Use the same password to log in to AMS.

IT support Students can get IT support from Service Desk during the hours of Monday to Friday 9:00am to 5:00pm. Service Desk can be contacted via [email protected] or (03) 86006700.

You are required to activate your MIT email account the first time you log in to AMS. Click on Activate MIT email here to cotinue.

Follow screen prompts to activate your MIT email account. Once you have activated you email, you are required to log out and log in to AMS again.

2. Create your timetable …………………………………………………………………………………………………………………………………………………………........................ Before you enrol you must complete the Enrolment Checklist. There are three steps in total. Once you have logged into AMS, select the Enrolment Checklist link.

Step 1. Confirm your phone numbers and click Save phone numbers.

Step 2. Enter your email address and click Save email address. You can forward your MIT emails to your personal email address. Click on the box below to forward your emails to your personal email.

Step 3. Select a Lecture and Lab/Tutorial for each unit that you enrolled. Click Process timetable.

Select Timetable link to view your timetable.

Print your timetable for your reference.

You can now log out of AMS.
