Section A – Short Questions Question 1: Why is writing known as a recursive process? Answer: Writing is known as a recursive process because in writing there is an idea of repetition and refinement involved. The aim of this process is to improve correspondence and enhance professionalism. The recursive process revolves around three stages: 1. Prewriting. 2. Writing. 3. Rewriting.

Question 2: Explain how concreteness in communication depends on clarity, conciseness, and consideration. Answer: Concreteness means something particular or solid. Concreteness requires us to be specific in giving information instead of being general with the audience. Concreteness depends on clarity, conciseness and consideration because it depends on facts and figures. A report can only be concrete if the information given is clear and concise.

Section B – Long Questions Question 3: Compare and contrast the structure of a complaint letter and information memorandum. Answer: Complaint Letter Complaint letter is used to file a complaint to an organization or a retailer. The complaint letter is addressed to a customer service department or head office. A hard-copy complaint letter is written in business letter format. In the first paragraph you should identify the issue and relevant information about the issue. The next paragraph you should write about what you would like to be done to resolve the issue. The last paragraph should thank the reader for the time.

Information Memorandum Information Memorandum is used to deliver or request information or assistance. The audience of an informative memo could be anyone like co-workers, HOD, colleagues etc. The structure of information memo is divided into three parts. The first part provides the main idea.

The second part expands on the details of the main idea on how it can be implemented or provide facts or figures to support the main idea. The third part highlights the action required by the reader.

Question 4: Considering the severity of pandemic, Deputy Commissioner Office is taking all the possible measures to ensure the implementation of the standard operating procedures (SOPs) to control the spread of Covid-19, but unfortunately these SOPs are not properly followed in your vicinity. As the Councilor of the area, write a memo to Deputy Commissioner Office of your area explaining the reasons of writing this memo, discuss current situation and the type of issues that may arise due to such behavior in your area. The memo should first describe the issue in detail and then propose solutions to improve the situation. Answer:

To: Deputy Commissioner Office. From: Luqman Karim Butt, Councilor Gulshan-e-Ravi. Date: December 1, 2020. Subject: Current Situation of Covid-19 in my area. This is to inform you about the current situation of Covid-19 in Gulshan-e-Ravi. We are trying our best to apply SOPs to control the spread of Covid-19 but it is getting harder for us to control because of the carelessness of people. Although we are trying to get people to wear masks, maintain social distancing and follow certain procedures before leaving their houses or entering in any public office, we can’t really control people because there is no lockdown and strict punishment if you are found violating the SOPs. My advice for you is to implement a smart lockdown where the shops and the markets are closed at a fairly early time so that people are bound to remain in their houses unless there is an emergency.
