Good morning, this is ….. from … Could I speak to …, please? I’d like to speak to a Mr ……….

Receiving /connecting a call      

Yes, speaking. How can I help you, Mr …..? What can I do for you? Oh, he’s on a different extension, but I can put you through to him. Can I have your name please? I’ll just put you through. If you hold, I’ll just connect you. Who shall I say is calling?

Saying why you are calling   

I’m calling about the new software. I got an email from … saying that I should contact you. It’s rather urgent that I speak to him today.

Someone is not available   

I’m afraid Mr…………….. is not picking up the phone – he may be out of the office. Can I get him to call you back? If I take your contact details, I’ll make sure he returns your call as soon as possible. May I have you telephone number, please? If you could just bear with me?

Taking a message/ checking /confirming     

Have you got a pen handy? Have you got something to write with? Are you ready? Have you got that? Could you read that back to me?

   

Sorry, I didn’t catch/get that last number. Was that a ‘p’ or a ‘b’? Could you spell that, please? Did you say ‘word’ or ‘world’?

I’m afraid it’s a very bad line. Mr ……………. knows my number, but let me give it to you anyway. It’s oh seven seven oh three five double seven extension nine one one.

Making arrangements     

So, when should we meet? How about Friday morning? / How about ten o’clock? What’s your schedule like for next week? What time would you prefer? Shall I come over and …… /I could come tomorrow or on Friday.

Just a moment, I’ll just check my diary. I’m afraid I’ll be busy then. The afternoon would suit me better. Well, I can’t make Monday or Tuesday, and I’ll be out of the office all morning on Wednesday. But I’d be free any time in the afternoon. Hmm, that might be tricky. I just need to check with …., since we share the office. Can I call you back to confirm it?

       

Tomorrow would be fine. Ten o’clock? Yes, that suits me. Where shall we meet? That sounds fine. I haven’t got anything on then either. So what time would you prefer? Oh, any time would suit. Shall we go for 3pm, and have the meeting in your office? I’ll be in my office until lunch time. If I don’t hear from you by then, I’ll assume it’s OK. If you just report at the reception, I’ll come down and meet you there.
