PROPOSED ON-THE-JOB TRAINING (OJT) ALTERNATIVE ACTIVITIES IN THE NEW NORMAL for Accounting and Business-Related Programs Academic Year 2021-2022 In accordance with the Student Internship Program in the Philippines (CMO No. 104, s. 2017) and the Guidelines for Implementation of Flexible Learning (CMO No. 4, s. 2020), the following alternative activities are proposed to ensure that clear safety precautions are in place for the completion of the internship course amidst the constraints posed by the COVID 19 pandemic that restricts the conduct of traditional on-site and face-to-face on-the-job (OJT) trainings. This proposal aims to address the numerous queries and concerns related to both Accounting and Business-related internship programs during this global situation, thus, ensuring on time compliance with curriculum requirements and attainment of relevant degrees. In consultation with the Dean and the Heads of the concerned Programs, alternative activities in lieu of the face-to-face modality are hereby proposed to be adopted:  

 



On-line On-the-Job training/Internship Program with reputable business industries offering Work from Home (WFH) arrangement; Self-directed learning such as webinars with certification, reflection paper, case studies with oral presentation, and environmental scanning through PESTEL analysis that are directly related to the program; Note: Online webinars and certifications are preferably those that are free of charge. For webinars and certification with fee, consultation with concerned parents/guardian and students is a must and should be voluntary in nature On-line business ventures/digital marketing/digital finance such as but not limited to selling of goods, trading of stocks and the like; Previous and/or current work experiences of students are allowed to be credited in lieu of the OJT hours required, provided that said work experiences are directly related to the program; and Family-owned business, as an alternative venue for internship.

I. Work from Home (WFH) Arrangement (100%) A. General Guidelines 1. An alternative/flexible internship program to lessen face-to-face interaction shall be designed by the Student Internship Program (SIP) coordinators (faculty-in-charge) to be reviewed and recommended by the Dean of the School of Business, Management, and Accountancy, for approval by the Vice President of Academic Affairs. 2. The SIP Coordinators should revisit and review all forms/documents related to internship particularly the existing Memorandum of Agreement (MOA) and recommend to the Dean relevant revisions/modifications. 3. All official internship related forms/documents must be issued by the SBMA office only through the SIP Coordinators. 4. The SIP Coordinators shall look for institutions, organizations, companies, agencies, establishments that can provide online or work from home opportunities to student interns. 5. The duration of the internship program shall be in accordance with the existing Policies, Standards and Guideline (PSG) of the approved curriculum which is 400 hours for Accounting-related and 600 hours for Business-related programs. 6. A Pre- orientation webinar shall be conducted for student-interns together with their parents/guardians prior to the placement to discuss the contextual realities of the industry environment setting. Questions and clarifications from student-interns and their parents/guardians will be addressed during the webinar. 7. At the end of the internship period, the SIP Coordinators must submit a complete and comprehensive report to the SBMA office in fulfillment of the requirements of CHED for the Annual Report on the implementation of SIP. 8. The following are the documentary requirements for the WFH modality: a. Prior to OJT Form 1 Form 2 Form 3 Form 4

b. After the OJT Program. Form 5 - Student Internship Exit Survey Form 6 - Narrative Report Form 7 - Attendance Sheet Form 8 - Intern’s Performance Appraisal Form Form 9 - Journal of Internship 9. The SIP Coordinators shall closely coordinate with the parents/guardians regarding the internship enrolment of their children/wards and shall provide timely feedback on the performance of the said interns. 10.In cases wherein online or work from home internship is not possible, the Dean and SIP Coordinators shall exercise discretion in facilitating flexible learning activities based on the established training plan of the program as long as the necessary knowledge, skills and training hours shall compensate the required number of hours. B. Roles, Requirements, Obligations and/or Responsibilities of the Parties Involved The School 1. Shall initiate the implementation of the internship program and guarantee that each student required to undergo the program will be given an opportunity; 2. Establishes formal linkages through the SIP Coordinator with the potential industries that are willing and able to provide virtual internship; 3.

Regularly monitors the students throughout the duration of the OJT;

4. Double checks and reviews the necessary documents of the agency to ensure the legitimacy of the host training establishment (HTE) including, but not limited to, physical location, a functioning website, and the like. 5. Confirms that the institutions, organizations, companies, agencies, establishments have projects/activities for students to work on through virtual OJT that hone and develop the intern’s competency that ensure their career and academic growth; and, 6. Reviews all the submitted documents and assessments that will be utilized to improve its existing internship program at the end of the internship period. The Host Training Establishment (HTE)

1. Provides prospective interns opportunity to attend/join their virtual internship program; 2. Conducts interview/orientation via virtual meeting to discuss their internal policy and requirements; 3. Chooses the best online collaboration platforms (video conferencing, messaging application) for sharing of documents, delegation of tasks, and regular communication for student-interns; 4. Commits to signing formal contracts (MOA) that provide guidelines for internship policy and highlight quality standards; 5. Assigns a supervisor who will be responsible for providing online assignments, supervision, and monitoring regarding tasks and responsibilities and provides online feedback evaluation; 6. Contacts the SIP Coordinator if any problem concern/issue occurs; and 7. Treats the student-interns in a respectful manner and make sure that they are not subjected to any sort of harassment/unethical practices or activities during their internship period. II. Alternative Activities In lieu of the online OJT or work from home arrangement, the following alternative flexible learning activities are, likewise, proposed: A. Self-Directed Learning (100%) The activities under self-directed learning include the following: webinars (local and/or international), case studies, and environmental scanning (PESTEL analysis).



Webinars (50%) The SIP Coordinators must exhaust all means to look for relevant virtual seminars which constitute 50% of the total required number of internship hours. Two (2) types of webinars may be attended by the students: international and local or national. Deficiencies in terms of the number of credited OJT hours for any of the type may be supplemented by the other to complete the

allocated 200 hours for accounting-related, and 300 hours for businessrelated programs. Students who wish to attend webinars not initiated or identified by the SIP coordinators may do so but only after seeking review and approval by the latter to ensure that the topics are relevant to the degree being pursued. No credit hours will be allotted for webinars attended that have not been previously approved or coordinated. Random checking must be done to monitor the regular attendance to and participation in the webinars. Issues and concerns, if any, are to be resolved the soonest possible time. a) International The students may opt to attend several webinars with international certifications but only a maximum of two (2) for accounting-related, and three (3) for business-related international webinars, will be credited with one (1) seminar hour equivalent to five (5) OJT credited hours. No student may be allowed to attend this type of webinar without a previous consultation with the parent/guardian and a written parental consent. Since assessments prior to the grant of certificates are done by the host agency, no reflection paper will be submitted by the student-participants or trainees. The SIP Coordinators must review the necessary documents (e.g., MOA) between the HEI/school and the training agency to ensure the legitimacy of the latter. b) Local/National For local or national webinars, one (1) seminar hour is equivalent to three (3) credited OJT hours for a maximum of 160 hours for accounting-related or 260 hours for business-related programs with participants required to submit at least ten (10) reflection papers to the faculty in-charge equivalent to a maximum of 40 hours.



Case Studies (30%)

Case studies constitute 30% or a maximum of 120 hours for accountingrelated and 180 hours for business related programs. There will be two phases: the written and the oral presentation. The written aspect is 10% or an equivalency of 40 or 60 OJT credited hours for accounting-related and business-related programs, respectively. An oral presentation or 20% equivalent to 80 or 120 credited hours per program is, likewise, required. For students of accounting-related programs, the case must be that of a government agency (GOCCs, GFIs, NGAs or LGUs) audited by the Commission on Audit. For students of business-related programs, the case must be that of an auditee by a private auditing firm. This particular activity is to be undertaken by a team comprised of four (4) students who will present their output to a panel composed of the Dean, the program head, and a faculty member. 

PESTEL Analysis (20%) Political, economic, socio-cultural, technological, environmental, and legal (PESTEL) analysis is an activity that students may do to earn 20% of the total requirement, equivalent to 80 or 120 credited hours for accounting or business-related programs, respectively. The students are tasked to do a comprehensive analysis of the existing conditions in the business environment, both in the national and international levels that could impact their specific program in the future.

B. On-line business ventures (25%) On-line business ventures include engagements such as digital marketing, digital finance, and the like. It constitutes 25% of the total required hours, i.e., 100 hours for accounting-related, and 150 hours for business-related programs. 

Digital Marketing and/or similar activities Digital marketing and/or similar activities are to be undertaken by students in business-related programs such as Financial Management, Human Resource Management, Marketing Management and Operations Management. They are required to be involved in at least forty (40) selling/marketing or service engagements.

Documentary requirements include certificate of registration/participation, and screenshots of record of selling/marketing or service history/activities. 

Digital Finance and/or similar activities Digital finance and/or similar activities may be undertaken by students in accounting-related programs such as Accountancy, Management Accounting and Internal Auditing. The minimum number of involvement is twenty (20). Trading records and similar documents are required as proof of engagement.

C. Previous and/or current work (100%) Previous and/or current work where students are performing tasks that are related to their pursued degree are considered as fully equivalent to the required number of internship hours. The SIP coordinators must determine the legitimacy of the company by ensuring that it is registered with concerned business registration government agencies such as, but not limited to, the Department of Trade and Industry (DTI). thhe Securities and Exchange Commission (SEC), Bureau of Internal Revenue (BIR), and the Local Government Units (LGUs). A certificate of employment that indicates the position, duties and responsibilities, and the number of working hours is required to be submitted. Student assistants’ number of hours worked in the assigned offices is, likewise, considered as equivalent to the credited hours for internship. It is, however, required that they be assigned clerical functions that will contribute to their acquiring the essential competency. They must prepare and submit to the faculty in charge a weekly accomplishment report detailing the programrelated specific task/s they have performed during the day. D. Family-owned business (50%) A student working in a family owned business is considered as an intern if he/she is performing tasks related to his/her program. The maximum number of OJT credited hours will only be 50% of the total requirement. A copy of the family business’ registration with concerned businessregistration agencies must be submitted.

A weekly accomplishment report indicating the relevant activities performed each day must be submitted for review by the faculty in charge. III. Internship Fees The Institution shall follow the approved students’ internship fee based on CHED Memo. No. 3, series of 2012 (Enhanced Policies and Guidelines, and Procedures Governing Increases in Tuition and Other School Fees, Introduction of New Fees, and Other Purposes). However, for the alternative activities, such as attendance to webinars (International, National or Local), fees and payment for such shall be shouldered by the student intern. IV. Monitoring and Evaluation The monitoring and evaluation of the performance of the student interns shall be done both by the HEI and the HTE. At the end of the internship period, the HTE shall transmit within two (2) weeks to the HEIs the following documents: a. Certificate of Completion b. Duly Accomplished Evaluation Sheet The SIP Coordinator’s report including the HTE evaluation report will be the basis of the student intern’s final grade as computed by the former.
