Project Purpose The purpose of this project is to resolve a family of fours desire for an unforgettable winter escape. This will be achieved by way of planning a memorable four-week holiday in June/July 2016 into some of Southern Europe’s most immersive cultures.

Clientʼs Requirements The level of attention given to the client’s requirements will determine the success of the project. The following requirements are expected to be met by Travelbug in order for the holiday to be deemed successful by the client: • Within Budget: the total cost of the holiday is expected to be within the family’s proposed budget without compromising the quality of the accommodation. • Accommodation standard: the family require the accommodation to have a minimum three star rating to stay within their budget while retaining quality for their money. • Time constraints: it is critical that the holiday is four weeks long in June/July 2016. This is due to the lack of flexibility with taking the children out of school and long-service leave. Synchronising the project with school holidays will minimise the amount of school missed. • Economy flights: flights are to be booked in economy class to keep within the client’s budget. • Location: Specifically, the family is choosing to visit France, Spain, Italy and Greece to experience a true Southern European Summer. • Breakfast Inclusion: To maximise convenience on the trip, the family see that it is imperative that all accommodation have breakfast included.

Measurable Project Objectives The project objectives are specific results that us, as the travel agent, aim to achieve for the client. From Travelbug’s point of view, the objectives for the proposed Southern European holiday include: • Sourcing good quality accommodation at reasonable prices for each destination the client visits • Booking equitable plane flights at a reasonable hour for each of the clients required destinations, minimising time spent in airports. • Organise reasonable priced and enjoyable tour packages for the client • Organising a luxurious and entertaining holiday for the client, exceeding the family’s expectations TRAVELBUG Southern European Project Charter

Stakeholders Below are the stakeholders involved in providing a service in the proposed Southern Europe family holiday. Stakeholders Client Travel Agency Pilots/ Air Hosts Hotel Managers Friends/Family Met Restaurants/ Services Tour Guides Locals Federal Government

Purpose To enjoy/ experience a holiday away from home in Southern Europe over a 4 week period. Agency that gives the client the assistance in order to plan a holiday. Those in control of traveling the clients overseas via a route. Those that provide the living use for customers when travelling in exchange for a fee. Those who have some sort of relation to you/ your family when travelling, Providing services such as food, tourist attractions etc. A service provided to show the client the area. People living in the area of where you are travelling who will add to it’s culture and heritage. Stakeholders providing the rules and regulations related to visas and passports.

Deliverables, Outputs & Outcomes The deliverables of a project are the components that make up the final output, these components can be both major or minor. In the case of a European vacation the project deliverables could be identified as the; • Travel agency • Aeroplanes/Shuttle transfers • Rental vehicles • Suitcases/Personal luggage • Cruise • Tour guides/Locals • Passports • Foods/Drinks • Holidayers The output of this project is a Southern European vacation. The cultural experience will provide the client with a lifetime of memories to share as a family, the proposed outcome of the project. This experience can broaden knowledge of diverse cultures and have unimaginable impacts on the family’s relationship.

Constraints & Assumptions Constraints are considered limitations into what you are capable of doing in the project, along with what potentially makes the project increase in duration. These constraints also create caps of what you can and cannot do on specific dates. • • • •

Work holiday’s allowance: Restricts the time that parents of the family have time off work to specific periods of the year. School holidays: Restricts the time that children can be dismissed from school, that being school holidays. Season: Season affects the weather and timing, and in this case is specific to the European Summer. Specific Flights: There is a limit to the number of flights to a specific location on any particular date. !

! Assumptions allow you to understand the limits and exclusions of the project. These limits and exclusions actually show clearly what will and wont be offered throughout the holiday. Common assumptions related to family holidays are listed below: • • • • • • •

Airport Transfers Breakfast inclusions Hotel Access to services Complimentary food and drinks on plane Delivery services Complimentary gifts upon arrival Transfer flights

Milestones A milestone is a significant event in a project that occurs at a point in time. For Travelbug, below are milestones achieved throughout the project: • Meeting the client and speaking to them about their holiday desire. • Choosing specific destinations to be visited. • Setting a date for the arrival and the departure for all destinations. • Booking the flights for the client, which consists of the departing, arrival and flights between the countries in Southern Europe. • Booking and confirming accommodation. • Money transferred from client to the travel agent for the booked flights and accommodation. • The departure of the client. • Receiving feedback from the client after their vacation.

Project Budget Below is an approximated budget proposed by the client: • 13 day French/Italian river cruise - $25000 (meals included) • Flights (Greece>France & Italy>Spain) - $5000 breakfasts • Accommodation (Greece & Spain 1 week each) - $7500 total including • Food/Drink/Meals -$1000 • Car Hire - $200 • General Spending - $2500 • TOTAL – approximately $41,200

Group Governance Over the course of the project, the family and travel agent will meet to confirm arrival and departure dates, accommodation bookings and potential tours. Frequently reviewing the holiday schedule face-to-face at a Travelbug office will ensure the client’s expectations are met and that all the limits and exclusions are covered, maximising the success of the project.
