BSBMGT407 Apply Digital Solutions to Work Processes Task 1 To gain good productive outcomes and effective communications between the employees and the employer, Digital applications are essential for workplace. For effectively performing the business tasks various digital trends are being adapted by companies nowadays. These trends are as follows: Content sharing apps for file sharing and accessing remote file locations within organizations. Project management software applications, where data from different locations and departments is integrated into one location and it can be easily accessed by the employees when needed. WMS and BPMS are effectively useful for workflow management and Business process management. One more trend is document processing through digital applications, for planning and managing documents for the organization. Companies and organizations have found out that in the constantly increasing demand of products and services, working independently is not efficient. Thus, digital applications to combine departments and their policies in order to gain and provide better results are also included in emerging trends. To satisfy these trends and to provide essential communication to the employees, various digital applications are used in organizations. For digital interaction between employees and employees within an organization, digital applications like Dropbox, Google drive, SharePoint etc. are used. To work with documents and other files within an organization, query applications like SQL and NoSQL are widely used. To read and send these files, Microsoft word and Google docs are popular. For networking within and outside the organizations, employees need effective networking applications. Linked in and Facebook are two applications which are widely used for networking for professional purpose. These applications have become so vital and useful that we cannot imagine a business without them nowadays. To check reliability and validity of these digital applications, five essential points should be considered.     

MTTF – Mean time to failure of a digital application MTTR – Mean time to repair MTBR – Mean time between repair ROCOF – Rate of occurrence of failure Probability of failure on demand.

The conducted research has been guided by these three online applications: Google, YouTube, Wikipedia. While google and Wikipedia provide authentic articles and reports, YouTube fails to provide such features. Thus, it can be stated that google and Wikipedia are more reliable that YouTube. Whereas, searching for important terms and definitions, video lectures from YouTube were more helpful than the former two.

However, these digital applications also have a threat of violating intellectual property of the users. There is a risk of invalidity, unenforceability, or non-infringement, or challenges to title or ownership of various data within organizations. The Australian IP law has introduced five acts to protect the intellectual rights of users while using these digital applications which are as follows:    



Patent Protection – To stop third parties from copying or using your products and services. Trademark Protection – A legal trademark for a brand’s name, that would prevent others from using your brand. Domain name registration – DNS are used to assign unique IP address for your business website, which can prevent copyright issues. Design Protection – The digital applications must be registered and approved by the design office of Australia, in order to use and access them for marketing communication. Copyright Protection – The Australian legislative network provides copyright laws to prevent copyright issues and protect the integrity of the original owner of the data.

Digital applications need to be checked for their integrity, validity, reliability and flexibility before using them in organizations. To test these digital applications various factors, need to be considered, such as: Customer interaction, Online security, maintenance and reliability, remote access and interaction and adaptability to new technological trends. After assessing these factors, a digital application can be utilized in workplace for better results.

Cloud applications: Cloud storage refers sending data to a remote hardware location, where it is stored in a server. The data can then be accessed by users from various locations via internet. Nowadays, various cloud services are available in the mark. After conducting a research on cloud applications, below mentioned are the widely used and popular applications.   

Of the above-mentioned applications, each one is effective and useful, but I prefer Google drive for my work. Google drive has many advantages, some of which are as follows: 

Back up feature for important files.

     

Sharing capacity of large files to others. Efficient in-built search engine. You can open, read and edit different documents. Provides great security. More reliable. User-friendly interface.

Google Drive vs iCloud: Apple’s icloud is safer than Google drive, because iCloud encrypts data before sending and decrypts before receiving. Whereas, google drive doesn’t use any encryption. Apple’s iCloud can be connected with iPhone, iPad and MacBook. While google drive is more suitable for android and windows devices. Google drive has a more user-friendly interface than icloud. Paid storage capacity of icloud is 50 gb at $0.99/month, while google drive provides 100 gb at $1.99/month....
