WBS 1. Winter Fest

1.1.

Initiation:

The project will be started off by reviewing the request for proposal with the stakeholders. Further, the meeting will discuss the below presented WBS.

1.1.1

Evaluation: This includes the team to discuss and evaluate for possible flaws in the proposal and recommend solutions to it. The discussion and recommendations would be evaluated keeping in mind the cost and needs of the prospective clientele. The team is divided and lead by Saranya Ratti, Association Event Planner Lovepreet Kaur, Operations and Activities Planner Pankaj Choudhary, Catering Manager Simranjeet Kaur, Services Manager 1.1.2

Project charter:

Timberlake Inc. believes to provide a charismatic experience to the clientele. We would work to meet all the expectations set. The charter will include

● Project overview ●

Project budget

● Project breakdown ● Team members and team roles ● Project deliverables ● Risk Resolvation process 1.1.3

Deliverable:

These are actually project outputs, or the project procedures. The deliverables what consumers and investors receive at the end of the project. These can be tangible or intangible. but the paperwork still occurs. When done, these papers are the requirements that clients and partners use to measure project success or completion. 1.1.4

Review:

After receiving the charter, the stakeholders need to go through it and discuss any discrepancies or queries related to the charter which needs to be resolved. The manager is supposed t work on the charter and review it in accordance with the expectations.

1.1.5

Approval:

The project charter needs to be signed by the team and stakeholders and should be finalized 2 weeks before the commencement of the project. After commencement, any change in charter needs the approval of stakeholders and the team.

1.2. Planning Planning is an essential part of every business. It is very important for the project that who will do what, what kind of resources we need to set up for this project and how to organize the festival. All these things help us to organize our festival in an excellent way. 1.2.1

Team heads:

A team head is someone who provides guidance, instruction to the other group members. He or she has the capacity to drive performance within a group of people. In our project, we have four team heads and each one has a different type of responsibilities. ● Saranya Ratti is association event planner. It means her duty is to associate the people with our winter carnival festival. ● Lovepreet Kaur is an activities planner which means different types of activities like games, entertainment as well as decoration are arranged by her. It is her duty to check everything is going well or not. ● Pankaj Choudhary is Catering manager. His responsibility is to check the food and guide the persons who is delivering a different kind of food for masses. If any problem will be seen by them then he can ask the members (delivery boys) and tell them to solve it. ● Simranjeet Kaur is services manager. It is her responsibility to check every service like lightning, decoration, catering and entertainment also, all these are working properly or not.

1.2.2

Advertisement:

It includes how we will promote our festival. How can we reach to the people and give them a piece of information about our event? How can we invite the people on our festival? We are using social media to promote our festival because it is very famous among people. People can see our advertisement on Facebook, Instagram as well as on television. It will help them to know everything about our festival like location, timing and what is it about? It is beneficial for us also because it will attract people and they will enjoy with their families and friends. They can spend more time with them. 1.2.3

Allocating resources:

Resource allocation is a plan for using available resources. It involves that where financial resources should be used. Being a public event, our total budget is $65,110 approximately. we are planning how we can manage all things for this festival. How much money we will spend on a particular activity? we will spend $20,000 on catering, $7,000 advertisement, $10,000 entertainment, $11,000 tent, $7,000 lights and $10,000 for security. We will spend money according to our planning which will be beneficial for our event.

1.3 Execution 1.3.1

Layout Design:

Design and structure really matter when we organise a winter carnival for the public. If the layout design is looking attractive then more people will come and enjoy the festival. We can include posters, flyers and print banners also. It is looking attractive for people so they will show more interest in coming to our festival.

It is one of the sources which attracts the masses. We hope more and more people will come and enjoy this festival with their family and friends. 1.3.2

Procure Material:

Procure Material means we have to obtain resources with special care and efforts. We need to buy stuff like tents, lights, tables, stages and stuff for food also. We have to pay extra attention to these activities. We do not make any mistake because this festival is very important to us. So we are trying to make it special and more enjoyable for the folks.

1.3.3

Install stage/lights :

It is a necessary part of our festival because if we do not arrange it properly, it puts a bad impact on our reputation and it affects our planning badly. Lights are a good source of attraction. When the masses see the decoration of a festival they will feel relaxed and full of joy. For arranging lights we need proper electricity and need to set up a location where we want to install a stage for people. So they can easily come and dance on it.

1.3.4

Install tents/booths/stalls:

Tents and stalls are essential part of our festivals because these things helps us to maintain all the needs of our customers. We install tents for food stalls because people wants to eat when they are going to enjoy somethings . Moreover, we have some stalls for toy shops generally, children like to play with toys rather than take a ride . We arrange one tent for the dance floor because we set a music system in our festival and people want to dance to loud music.Also, we set small booths for our management and security .

1.3.5

Walkways:

we set a walkways side from all dance floor , stalls and games because most of the time senior people and ladies with small kids having trouble with crowd so that’s why we wet walkways and it's also increase our reputation in front of senior people and hope so i want us again in the next winter. 1.3.6

Test :

We care for our customers all of the time because we are happy to serve them in better and safe ways . Before the opening of the festival we all team members test everythings like all rides , music systems and lights etc. for the safety of the society .

1.4.

Control

Control is the very first thing to accomplish our project. Control is very important because we have to manage everything according to our Timberland Inc. rules and regulations. In this, we have to manage all things like how we control the rush of people and how we handle all the activities during the event .It also includes the process of Supervision of every activity for e.g games, is it going well or not. 1.4.1

Security:-

Security is an essential part of every event because everyone wants a proper security system because nobody knows what will happen and when it will happen whether it is good or bad for

all so that’s why security plays an important role in every event. Our security guards will be available from the starting day to till ending day of our organizing event because we settled so many things at the place for eg music system, games etc. and these all things are under proper security systems. As well as, we also care about our guests. 1.4.2

Meetings:-

Meetings are also a key part of control because during the meetings all event planners get together and share their thoughts about the event and divide the work according to the project. We did so many things during the meetings like we set our budget. location and create a chart of activities that attracts society towards our event. 1.4.3

Supervision:-

In our event supervision is very important because we organize this event for the public. As we all know in the public event we have so many duties rather than private events because in public events we are dealing with the public and we have to set so many things for the public to control. Under the supervision of the event, everyone is responsible for their activity because we already divide our work. 1.4.4

Waste management:-

In our event so many food stalls for the enjoyment of the public. Then we set so many garbage bins for control of waste during the event hours and keep neat and clean the whole area of our event. We set two types of bins is Garbage and Recycle bins just for the sake of controlling the waste during the event.

1.5.

Close Out

The closeout in a project is the conclusion. The aim of a closeout is to conclude the project. The purpose of the project close out is to assess the project, ensure completion, derive conclusions and recommendations of future projects. The project close out finalizes the project, rules out the hypothesis and assumptions made initially, and authenticates the results obtained from the research. The close out verifies that the project was completed, the management processes were executed and all the stakeholders of the project agree upon the completion of the project.

1.5.1

Post Event Evaluation:

The activities involved in a project closeout is to end the project correctly. When the project is completed favorably, it reflects positively on all the parties involved (Wetherbee,2018). The parties involved include informants, the team, the team head and the sponsoring organization of the project. The close out shows that planning of the project in the initial stages makes the closeout stage easier and effective. The close out ensures that all the activities stated in a project proposal are done to the satisfaction of the upper management. The management includes the stakeholders such as the sponsors and the project manager. The role of the project supervisor in the final stage of the scheme is to confirm that all the facets of the project are concluded appropriately (Wetherbee, 2018). The supervisor also ensures that the team members maintain their focus on the project even to the end.

1.5.2

Vacant the place

After event completeion our teams ould vacant the place and remove all the equipment that was installed during the process. In addition the team will also clean the space and leave it as it was handed to us in the first place.

1.5.3

Staff Recognition: The close out of the project has benefit to the project and future projects that will be done afterwards. This involves in recognizing the staff, volunteers who helped in the project and will be provided a certificate for their help and work. This also leads to great value from the lessons learnt during and after the project is completed. This is the perfect time to communicate with and demonstrate the respect for the team members and volunteers who made the project successful; this phase not only demonstrates our gratitude but also allows these essential members are ready to collaborate for you in the future

1.5.4

Report: The close out of a project aids in writing the final report. During the close out process, a document outlining the steps involved during the project is prepared which is the report.The report also gives an insight into each facet of the project. Records are made and maintained by the organization for use in writing the report of the thesis of the project. The report can then be used as reference for future projects or even repetitive developments to previous projects. In the final report, recommendations are

given to suggest for future improvements in the project. The report should outline all the set procedures along with the time limit for the project.

1.5.5

Assesment :

For the final stage of our project, assessment will be done by the project manager and the project sponsors to ensure that the implementation of the community festival by Timberlake Events is without fault. The main objective as Timberlake Events is to deliver a short-term strategic season festival for the community in Toronto. During this time, the key highlights will be presented, and the strategic options identified. Tourism will create revenue in the community and also improve societal ties in the community involved during the winter festival.
