Argus FAQs Argus Extraction Overview What is Argus Extraction? Argus Extraction is an intelligent application that transforms document interrogation and analysis by adding the power of hundreds of virtual eyes to the team. Argus leverages artificial intelligence, including advanced machine learning techniques and natural language processing to quickly identify, highlight, and extract key terms from any type of electronic document. In workbench mode, Argus functions as a data extraction tool reducing team’s efforts required for detailed testing. With just one click, compare documents against base templates and perform analytics on textbased data. Who can access and use Argus? Argus 8.0 can only be used by professionals working on audit engagements in the member firms to which Argus is opened to Please ensure that you only use Argus in connection with audit engagements to avoid violating our licensing agreement which could have serious consequences in the event of non -compliance. Please note, clients do not have access to Argus at this time. Engagement teams can use it to share insights with the client only in connection with an audit engagement. Information from Argus can be exported and shared with the client in Excel, Word or PDF format. Where can I access Argus Extraction? Access Argus at https://argus.deloitte.com. What browser should I use to access Argus? Argus is compatible with Google Chrome and Microsoft Edge browsers. What types of documents can I review in Argus Extraction? Argus can review and compare many document types (e.g., contracts, board minutes, legal letters, confirmations and financial statements). Are there any restrictions on what types of documents can be reviewed using Argus Extraction? Yes, some restrictions apply. When using Argus Extraction remember to follow the Deloitte Policy Manual 1570– Privacy, 1630-Client Confidential Information and 2060- Ethics to eliminate or minimize the receipt and retention of Personal Information (PI) and Protected Health Information (PHI). Documents that include PI and PHI should be collected only when the information is necessary, relevant and not excessive for the purposes for which it is to be used. Also, the collection of PI and PHI should comply with applicable law (e.g., the collection of PHI should comply with the minimum necessary standard contained in the Health Insurance Portability and Accountability Act of 1996). At the completion of the engagement, remember to comply with the following requirements regarding deletion and destruction of all PI and PHI from Argus: DTTL AAM 0200: Audit documentation and corresponding local member firm guidance, as well as other implementations guidance such as Archiving of the Audit File Practice Aid, Audit Documentation — Completeness and Accuracy Practice Aid, and Working Paper Integrity. Can a user use Argus Extraction for an engagement that has citizen access restrictions? Getting Started What user roles exist in Argus Extraction? Owners can manage users, create projects/folders, upload files, • modify documents, view results and analytics, add/remove templates & extraction fields, create private extraction fields, mark documents as reviewed, export results and analytics, send archive requests, approve/reject archives (if Partner or Managing director), copy/carry forward and/or delete the project, enable legal hold and lift legal hold (if Partner or Managing Director), request training on extraction fields • Contributors can upload files, modify documents, view results and analytics, mark documents as reviewed, export results and analytics, send archive requests • Read-Only Users can view and export results and analytics Any level team member on your audit engagement can act as an Owner, Contributor, or Read-Only User. You may assign the same role to multiple users (e.g., two team members can be designated as Owners). Note that if you have Contributor or read-only access to a project, you will not be able to add/remove members or to add/remove extraction fields and templates. How can I assign a user role? Concurrently while you are creating a new project, you may also add your team members and assign a role for each. You can adjust the role of an existing user by navigating to the Settings page on the left side pane while in your projects. Note : Each project requires the assignment of a PPMD.

How can I access existing projects created by my team members? Contact a member of your engagement team to identify who is an Owner and have them grant you access to the project. Once you have been granted access, you will automatically see the project on your project list page. Return to Table of Contents How do I upload documents into Argus Extraction? To upload files, you must have either Owner or Contributor permissions to the project. You can upload files two ways: 1. Drag and drop the file(s) directly from your desktop onto the documents screen on your project. 2. Click the ‘Upload’ button and use Windows Explorer to select the files to upload.

Once your upload begins, you will see a pop-up Upload window in the lower right- hand corner. Which file types are supported by Argus Extraction? Argus supports the following file formats: Zip (.zip – containing only the file types below) Note: This format • should be used when replicating you need to quickly replicate a folder structure within in Argus. • Microsoft Word (.doc, .docx, .dotx) • Unsecured Portable Document Format (.pdf) • Image files (.bmp, .jpg, .jpeg, .png, .tif, .tiff) I uploaded a document, but there was an error. What should I do? Occasionally, a document fails to process. This can be due to a variety of reasons, including but not limited to the fact that the document is secured, or the file name includes an unsupported special character. To resolve the issue, you should attempt to re-upload the file. If the problem persists, call Technology Support at +1 (615) 738 2333. What is tagging and how can I tag documents in a project? Tagging is the process of adding a label to a document to categorize it and make it easy to find later or to draw attention to a particular attribute of that document. Consequently, it can easily be found and managed within the team and in communication with other team members. To tag an individual document on the Document page, click on the ‘+’ icon that appears under the Tags column and begin typing the desired tag in the pop-out window, such as ‘Service Agreement’. When you have finished click on ‘Add’. To tag multiple files at once, click the checkboxes on the left of each document, and click the ‘Tag’ icon in the toolbar . Why did I get logged out of Argus? For security purposes, Argus times out (similar to logging out) if left inactive for 30 minutes or longer. If this happens, your work will not be lost. Navigate back to Argus to resume your work. How do I save my work? Argus will automatically save edits to documents and highlighted annotations. Because Argus is an Internet application, an Internet connection is required to save work. Return to Table of Contents How can I export documents out of Argus Extraction? On the Documents page within a project, check the document(s) or folder(s) you would like to export. Then click the ‘Export’ icon. This will open a side pane providing you the option to choose a) the type of exports (Word, Excel, PDF) b) the type of tags, and c) templates/extraction fields. Select the desired options and click on Export button.

Notes: •

When exporting to PDF, the entire document will be exported with the annotations highlighted and bookmarked. When exporting to other formats, only the relevant information associated with the annotations and file type will be exported.



When multiple templates are selected to be exported with the documents in Excel, Argus will produce one export for each of the templates.

Conducting Your Review What are extraction fields? Extraction fields are key terms that you would like to quickly identify in Argus Extraction. There are two kinds of extraction fields: •

Public extraction fields are extraction fields that are preloaded into Argus. Many public extraction fields have preloaded artificial intelligence that allows them to automatically extract these fields from your documents once uploaded.



Private extraction fields are custom extraction fields created by members of the engagement team. Argus will need to be trained to use private extraction fields to automatically extract your terms. Refer to ‘How can I train Argus to automatically extract information relating to my private extraction fields?’ for more information on how to train Argus.

Argus offers public extraction fields for debt, general terms, interest rate derivatives, leases, preferred stock , and reinsurance. Examples of each include: •

Debt – Collateral, Guarantee, Repayment



General Terms – Title, Parties, Date, Amendment, Indemnity



Interest Rate Derivatives – Trade Date, Notional Amount, Business Days



Leases – Lease Term, Rent/Minimum Rentals



Preferred Stock – Classes of Stock, Issue Price, Par Value



Reinsurance – Commission, Quota Share, Reinstatement

Return to Table of Contents What are templates? A template allows you to group a set of extraction fields within a project, so that they can be applied to some or all documents within the project. A project can have one template or multiple templates. Each document within the project can be associated with one template. For example, if a project contains both invoices and purchase order documents, we can create a template for invoice related extraction fields and apply them to the invoice documents and create another template for purchase order related extraction fields and apply them to the purchase order documents.

The extraction fields screen allows you to create templates and add extraction fields to them. If you have only one template defined into your project, that template will be applied to all uploaded documents. When there are multiple templates defined into a project, you will have to choose and assign a template when you upload your documents, Argus will search and extract, where possible, the extraction fields that are within the assigned template. How do I create a template? To create a template: • At the creation of the project: - On the ‘Extraction Fields’ section, select your Document Type (from the existing predefined ones) or ‘Other’ to create a blank template. - You can rename your template, add/remove ' or create new private ones. - You can create another template by clicking on ‘Create New Template’ • After you’ve created your project: - Go to the ‘Extraction fields’ screen and click on ‘Create New Template’. - Select what you would like to do in Argus (from the existing predefined ones) or ‘Analyze a different type of document” to create a blank template. - You can rename or duplicate your template, add/remove extraction fields or create new private ones. How do I add/remove extraction fields within a template? To add an extraction field to your template, go to the extraction fields screen and select the template that you would like to add the extraction field to. To add a public extraction field, you can select the relevant folder on the left side of the screen and select the necessary extraction fields, or search for the extraction field using the search bar. To create a private extraction field, click on ‘Create New Extraction Field’. You will then be prompted to enter a name and a description of your field. Then click on ‘Create’. The field will be created and added to your Template. To remove a field from your template, click on the ‘x’ near the field’s name. How can I apply/remove template(s) to/from a set of documents? To apply a template to a document or set of documents: • In Documents screen, select the documents that your wish to apply the template to Click the Templates option/icon in the toolbar. • • In the Templates pop-up, select the template that you wish to apply. • Click on Apply button. Note: At least one template must be applied to a document. Return to Table of Contents

Can I see the definitions of extraction fields? Yes, you can. In the extraction fields screen under your template, when hovering over the extraction field, a popup will be displayed with the definition of that extraction field. How can I adjust the extraction fields for my project? To adjust the extraction fields for your project, go to the extraction fields screen and add/remove fields as needed. How can I create a private extraction field? On the extraction f ields screen, open your template and click on Create New Extraction Field. Type the Extraction Field name you would like added and a definition that provides insight and clarification to others who may wish to use this field in the future. Note: You can also create an extraction field from within the document viewer while you are reviewing your document. How can I train Argus to automatically extract information relating to my private extraction fields? Training Argus to recognize private extraction fields will be a collaboration between yourself, Argus, and the Argus Support Team. Just like a student learning new vocabulary words, Argus needs examples of how to define your private extraction field in order to begin to automatically extract that information. Begin by creating a private extraction field. Next, highlight examples of that field in at least 20 documents containing that field. Mark the documents as reviewed after you have annotated them. Finally, click on the icon next to the extraction field name to send a request to Argus Support to initiate training. When a training request is submitted, the Argus Support team/Country managers will automatically receive access to the project for 3 days/72 hours. My private extraction results are not performing well. Can I upload more documents and request retraining? Yes, you may. After uploading the new documents, annotating those documents and marking them as reviewed, you can re-request training by clicking on the icon next to the extraction field name, to contact the Argus Support team to initiate training. If you need to share or modify the name of the extraction field, navigate to ‘Menu’ then click on the ‘Manage Extraction Fields’ screen, and search for your extraction field. Click on...
