This is a project-based assessment which will be assessing you on your knowledge and performance of the unit. This assessment is in two Parts: Part 1: Project authorisation and scope definition Part 2: Project Initiation Document (PID) This assessment also contains: Assessment Checklist Observation Checklist Feedback - Marking Guide (copy) Check the Assessment and Observation checklists to ensure that you’ve covered all the required tasks.

Assessment overview

The objective of this assessment is to demonstrate your ability to define the project scope and conduct project authorisation activities. It is important that you keep a copy of all assessments submitted to TAFE.

What do I need to do to achieve a satisfactory result?

To achieve a satisfactory result for this assessment all questions must be answered correctly and all items in the Assessment Checklist must be marked Satisfactory.

Assessment conditions

Assessment conditions will replicate the workplace, where the conditions are typical of those in a working environment or workplace. Assessment may be undertaken in simulated workplace conditions, which is assumed to be noisy and similar to workplace conditions, or within the workplace. This may include phones ringing, people talking and other interruptions.

What do I need to provide?

USB drive or other storage method with enough free space to save work to as backup.

What will the assessor provide?

Access to the student learning website.

Due date and expected duration

See your Training Plan for the expected due date. Indicative time to complete assessment: Part 1: Two hours Part 2: Two hours n/a

Assessment location

The student may access their referenced text, learning notes and other resources.

Supervision

The objective of this assessment is to demonstrate your ability to define the project scope and conduct project authorisation activities. BEFORE you attempt the assessment.

Assessment feedback, review or appeals

In accordance with the TAFE NSW policy Manage Assessment Appeals, all students have the right to appeal an assessment decision in relation to how the assessment was conducted and the outcome of the assessment. Appeals must be lodged within 14 working days of the formal notification of the result of the assessment. If you would like to request a review of your results or if you have any concerns about your results, contact your Teacher or Head Teacher. If they are unavailable, contact the Student Administration Officer. Contact your Head Teacher for the assessment appeals procedures at your college/campus.

Specific task instructions Assessment event 1 – Written Task - Project Initiation This event requires you to submit a project brief that demonstrates your ability to define the project scope and conduct project authorisation activities.

Your project - Using the Game On! Project… Use the fictitious organisation called Plan2go - you can find all the documents relating to this organistaion in the Supporting document folder (click on the link to Project Office below). Their latest project is an exciting move to open a new office in Surfers Paradise to optimise their opportunities to provide corporate travel solutions to organisations involved with the upcoming Masters game. Or use a real-life project that you are involved in at present. Call your teacher to confirm if it is suitable. If you choose to work on the Game On! Project you have a choice between the following four sub-projects: 

Part 1: Project scope authorisation and definition You first need to conduct project authorisation activities; and get stakeholders’ input to define the project scope.

Task 1 – Plan communication with stakeholders Create a word-processed document addressing the following: a. Create a list of questions you will ask stakeholders in order to clarify the scope of the project. b. Save as the Appendix of an MS Word document named Project Initiation.docx

Task 2 – Define project scope Before you can start finalising your project’s scope, you need to get input from your stakeholders. In this task you need to: a. Identify the types of project initiation documentation you could use, and get your stakeholders approval for you to use a Project Initiation Document (PID) b. Develop and confirm the procedures you need to follow in order to get authorisation to use resources needed for the project. c. Identify and negotiate the boundaries of the project with relevant stakeholders. d. Establish and agree on measurable project benefits, outcomes and outputs. e. Establish a shared understanding of desired project outcomes with relevant stakeholders. Using clear, simple language and plain English: 1. Use active listening and questioning to respond appropriately to questions your stakeholders (your helpers) ask you. 2. Ask your stakeholders to clarify some of their questions.

Instructions for the role play: 

Ask two friends or family members to play the roles of your stakeholders. One needs to play the role of your project sponsor.



Use your list of questions from Task 1.1 to prepare the dialogue for you and your helpers to use.

This will form the basis for your project plan and must include the following sections and information: a) Procedures for project authorisation b) Project delegations and authorities – and include an outline of the roles and responsibilities of the project manager in relation to project planning c) Project background d) Justification e) Project definition including: i. Measurable benefits ii. Outcomes and outputs f) Project boundaries g) Options h) Incorporate feedback from stakeholders (clearly indicate contributions) i) Officially signed authority to proceed Save Part 2 as the main content within Project Initiation.docx

Part 1.2 - Observation Checklist The Observation Checklist will be used by your assessor to mark your performance in Part 1.2 of this assessment.
