Certified Public Accountant (CPA): The CPA is a senior position at a tax preparation company. The CPA will be not only handling sensitive customer data from personal tax returns but also preparing tax returns for corporate clients. The CPA is also responsible for the personal tax returns filled out by the tax and data-entry specialist employees. o Hardware: 28” display, 2TB SSD, 32GB RAM, NVIDIA GeForce GTX 1070, Intel i7-7820, HP LaserJet Pro M479fdw Wireless Color All-In-One Laser Printer (shared), keyboard and mouse. o Software: Windows 10, Quickbooks, Microsoft Office, Sage Intacct, Docuware and a VPN. o Security: Admin/User Password protected system.



Tax Specialist: The tax specialist has the dual role of entering data and verifying that tax returns are correct. This position involves customer interaction in gathering data for minimizing taxes owed or maximizing tax refunds. o Hardware: 28” display, 2TB SSD, 32GB RAM, NVIDIA GeForce GTX 1070, Intel i7-7820, HP LaserJet Pro M479fdw Wireless Color All-In-One Laser Printer (shared), keyboard and mouse.

o Software: Windows 10, Quickbooks, Microsoft Office, Sage Intacct, Docuware and a VPN. o Security: Admin/User Password protected system.



Data-Entry Specialist: This position requires data entry for personal tax returns for customers who walk in the door. Although the data-entry specialist works with sensitive customer data, they do not have access to the tax returns once the returns are submitted to the tax specialist for review. o Hardware: 28” display, 2TB SSD, 32GB RAM, NVIDIA GeForce GTX 1070, Intel i7-7820, HP LaserJet Pro M479fdw Wireless Color All-In-One Laser Printer (shared), keyboard and mouse. o Software: Windows 10, Quickbooks, Microsoft Office, Sage Intacct, Docuware and a VPN. o Security: Admin/User Password protected system.

Hardware

I felt the Microsoft Surface Studio 2 was the most practical choice for the entire business. My reasoning for this is as follows:



Storage: An SSD is certainly the best option between an HDD and SSD. A 2TB SSD not only provides fast speeds when loading documents but it also provides ample room for storing all files and documents required for the business.



CPU: The Intel i7-7820 is a very fast processor and easily meets the requirements needed to run any program ever needed by anyone in this workplace.



RAM: While multitasking with a computer that lacks RAM, it ends up slowing the computer down to a crawl and potentially causing it to crash. Having a large amount of RAM in this system guarantees any of the associates a reliable and fast system when working on several different tasks at once.



Graphics Card: While not extremely important to this sort of work, its still nice to have a quality and reliable graphics card. The NVIDIA GeForce GTX 1070 is a reliable and safe choice for your media or music streaming needs.



Keyboard: This is also not something you need to blow loads of money on in this field, so it comes down to personal preference. The stock keyboard that comes with the Surface Pro 2 works just fine.



Mouse: Again, this is also a personal preference situation. The mouse include with the Microsoft Pro 2 works just fine.



Display: The Microsoft Surface Pro 2 is an All-In-One meaning the entirety of the system’s hardware is inside the display. In this case, it’s a beautiful 28” Pixelsense display which is also touchscreen.

Software



Operating System: The operating system is a no brainer to me because Microsoft’s Windows 10 is by far the best choice. It has a very easy to use UI and it’s known to be very reliable.



Quickbooks: This is a great program for each of the employees at James Otis Tax Associates. This application allows you to manage your payroll as it calculates the appropriate taxes, income & expenses, inventory and loads of other features.



Microsoft Office: I feel this is another no brainer. This is by far the best suite any business owner could have if they find themselves preparing any sort of report of any kind. It features loads of applications included in the Office suite, including Word, Visio, and Excel.



Sage Intacct: This program helps manage the business’ finances in a very easy and simple to use way. It gives the user the ability to create a finance report for their business and gives them a better sense of awareness of their finances.



Docuware: This program protects all the documents on your system. It features an encryption system to prevent data breaches.



VPN: A VPN is highly needed in a business as it greatly increases security on your network to prevent any of your clients or associates’ private information from being shared from potential hackers.

Network



ISP Modem: This is needed to allow the router access to the Internet. It converts an analog signal from telephone wire to digital data that a computer can understand. Additionally, it converts digital data into an analog signal.



Router: This is needed to route the data sent from the LAN to other networks.



Firewall: This is used as a filter to the network. It sifts through data coming from the Internet and allows entry or denies malicious data.



Switch: This is used to network multiple computers together.
