OPERATIONAL PLAN Operational plan outlines the tactical activities that must occur to support the ongoing operations of the organization. They are more specific than strategic plans. There are two types of operational plan which is standing plans and single-use plans.

PERODUA use the first type of operational plan which is standing plans.Standing plans are ongoing plan that provide guidance for activities that recur frequently. It include policies, procedures and rules.

POLICIES Policies are guidelines that govern how certain organizational situation will be addressed. As for example, privacy policy that PERODUA used when it comes to collecting the customer’s personal data.PERODUA and its related companies is committed to comply with the PDPA or also known as Personal Data Protection Act 2010 to protect their customer personal data. This notice explains how they collect and handle every personal data given by their customer in accordance with the law.

Organizational structure is a plan that represent the relationship between job and department in an organization. There are four common type of organizational structure which is functional structure, divisional structure, matrix structure and network structure. As for PERODUA, they uses functional structure as their main form of organizational structure.

Functional structure will enhance the company’s operational efficiency. This is because member of the organization are grouped according to the function they perform within the organization.PERODUA chose this type of organizational structure because it will be easier for the company to be organized.Every manager from each department are required to supervise every worker under their management.By using this functional structure also, PERODUA also able to create a high quality product and serve the best for their customer as each department only focus on one area of work and the staff are skilled in the tasks they do.

4. LEADING Leading can be defined as the action where a person takes charge of a situation or activity and leads the people involved towards a goal.It is important for a company to have someone to be called a leader who can influence others and who has managerial authority.

POWER As a leader, they usually have the power or the ability to use human, informational or material resources to get something done, to influence people and get results.French and Raven’s bases of power have been divided into two which are position power and personal power. For PERODUA, they mainly use position power in their company.

Position power is the power that is derived from opportunities inherent in a position in an organization. As for the company PERODUA, they mainly uses coercive power and reward power. These two type of power are included under the same category which is position power.

COERCIVE POWER This is the power to punish, discipline and withholds rewards. As being stated before, PERODUA organized its company by using the functional structure form of organizational structure.Every manager from each department are responsible to make sure that the work given to them is done correctly. In order to make sure every worker did their part, the leader or manager can take action on every each one of the worker if they did not give their full effort in doing their task.

Not only for task, the leader also can punish the worker if they are constantly late for work without any valid reason. This is done not because the leader want their worker to hate them but to make sure that everyone is disciplined and do their work seriously.

9

REWARD POWER Reward power is the ability of a manager or leader to offer something of value, be it of monetary or non-monetary value, for the purpose of controlling and influencing people. This is mostly done by a regional manager or sales manager.Every worker that is being assigned as a salesperson, they will get rewarded if they achieve their monthly goal or exceeding it.

For example, the salesperson can get rewarded like being promoted to a higher position or getting a bonus for their hard work in getting customer to buy cars. This can make the other worker of the same position determined to achieve their sales target.

5. CONTROLLING Controlling can be defined as the process to assure that actual activities conform to planned activities according to Stoner. While Goodman, Fandt, Michlitsch and Lewis defined controlling as a process through which leaders regulate organizational activities to make them consistent with the expectations established in plans and to help them achieve all predetermined standards of performance.

Control is systematic set of four steps that must be undertaken or this is also known as the controlling process.

THE CONTROLLING PROCESS 1. Setting Standards For Performance - A standard is a target against which performance is compared. For example, PERODUA design and create their PERODUA Myvi with aerodynamic design and overall technological improvements to provide a cleaner and more economical drive with such an affordable price.

2. Measuring Actual Performance - This step may be an ongoing or repetition process.Supervisor at PERODUA need to measure every performance of a car that they want to sell to ensure conform the specification and standard.

10

3. Comparing Actual Performance With Standards - This step involves determining if actual performance compared to standards falls within acceptable limits. For example, after the manufacturing process of PERODUA Myvi is done, they will put it on a test to ensure it safety level and if it meets their standard.

4. Responding To Deviations - If the deviation from performance is unacceptable, then corrective action is warranted. As for example, if during the test, PERODUA Myvi that they manufactured does not meet the standard that they want and they are not able to put it into the market, they will try to change any part of the car and repeat from the second process until there is no correction action is necessary.

TYPES OF CONTROL There are four types of control and all of it were used by PERODUA in producing their car.The first type of control is pre-action control or also known as feed forward control. The purpose of this control is to prevent anticipated problems before going through the transformation process. For example, PERODUA always make sure the quality of every body part of their car is at it best before purchasing it from their supplier. This is done to make sure that their car is high quality and their customer will be satisfied when using it.This pre-action control also can prevent the company from using a lot of money to keep purchasing a new material for their car every time they need to change any part of the car they are producing.

The second type of control is steering control or concurrent control. This type of control focuses on the transformation process to ensure that it is functioning properly. The primary goal is to spot problems as they developed and take corrective action before final results is achieved. The best known form is direct supervision.Like PERODUA, supervisor that is in charge in their manufacturing part will continuously monitor their process to ensure that every part of the car is being put coordinately and correctly. If there are any mistake happen, it will be corrected quickly before proceeding to the next process.

The third type is screening control or yes no control. This is a specific check points that must be successfully passed before an activity proceeds further. For example, before showing it to the 11

public or putting any of their car on the market, PERODUA did a several test to make sure that it is safe to be used and every part of the car is complete and there is no flaw. The test that usually done by PERODUA is safety check such as to ensure their airbag is functioning well along with their brake and engine. If there is any mistake in any of the system, they would take a quick action in improving it and will redo this test until they passed and confirm that it is safe for their customer to use.

Lastly, post-action control or feedback control that focuses on the outputs of the organization after the transformation process is complete. It attempts to measure the result of certain actions and if there are problems, corrective action is undertaken and applied to future activities. As an example, PERODUA let their customer to contact them if there is any problem about their car and they will try to guide the customer for further action. This will help PERODUA to be more aware of what they should change in the future to make sure that every customers satisfied with their product.PERODUA also always try to be up to date with the latest trend of car especially from their competitors to make sure that they produce cars that are most wanted by their customers at a time.
