To: Manal Tarhini From: Alexandra Turgeon Subject: REQ: An incident regarding listening in the workplace Dear Mrs. Tarhini, Per your request, here is an incident in which my employee and I had a miscommunication at work. At my work, to identify which food items are on sale, we place a yellow piece of paper inside the plastic stand that indicates the new sale price of the item. Towards the end of the week, as a supervisor, I requested my employee to remove the yellow papers, as the next week’s sales were starting. She decoded this message as removing all of the yellow papers she sees in the store. Once my employee was finished removing all the papers, I realized I forgot to clarify one point; to not remove the yellow papers for the Christmas products, as they were still on sale. In the end, all the Christmas specials had to be re-printed. In this case, you can see that the sender, myself, had an idea. The idea was to remove the yellow papers since the sales were ending. I encoded and developed this message by using direct words and translating this thought into an order. Although, as a supervisor, I have many responsibilities and it gets overwhelming. In my rush to explain, I left out an important part. I transmitted this message by orally telling her the task at hand, although, I did not use eye contact and I did not make sure she properly understood, as I was doing another task at the same time. The receiver, in this case, my employee, decoded this message and interpreted it just as I explained it. I made no mention of the Christmas products when I asked her to remove the papers. Therefore, the message was not properly conveyed, which led to this miscommunication. Even though she was actively listening and even repeated the task back to me, I was the one who was not actively listening. If I was, I would have caught on to the mistake while she was repeating it. Based on my analysis of the situation, I believe that the second step of the Communication Process was not completed. While converting this idea into a message, I forgot to mention a step. In the end, because of this miscommunication, additional work was needed since all the Christmas sale papers had to be reprinted and put back on the products. For the future, the next time I ask one of my employees to complete a task, I will make sure to take my time and think through what I am going to say. I will also make sure to use proper body language, like using direct eye contact to assure that everything is understood correctly.
