TASK 2: 3 Phases of Business Writing Reflection Phase 1 Pre-Writing Pre-writing helps you organize your thoughts, plan your research or writing, and clarify your thesis, it included analysing, anticipating and adapting. Analysing is important for us to understand the purpose of writing, what to achieve, and choose the right platform and channel. Anticipating is to understand the audience for how the audience to react your message. Adapting is to use the information about the specific audience to adapt the message to the audience. In addition, it is useful to save the time to check the message. These three elements are important before we drafting the business documents. (97 words) Phase 2 Drafting Drafting is the stage of the writing process in which you develop a complete first version of writing. It contains five paragraphs essay included introduction, three body paragraphs, and conclusion. Besides that, writers should use the formal message and positive attitude because at this stage they have to connect with their audience by being sensitive to their needs and build a strong relationship with the audience by establishing credibility with use a conversational tone, plain English, and an appropriate voice to deliver the message. Writers have to avoid long or short paragraph became insufficient support, readers will think loss of interest at topic. Hence, try to write paragraphs longer than one sentence but shorter than the length of an entire double-spaced page. (122 words) Phase 3 Revise At the last stage of writing, writer should evaluate the content and review readability to avoid the grammars error. Writer may check the suitable design elements with professional layout for readers easy to understand. Before writers distribute the message, they have to proofread the message as review the communication piece for errors in the layout, and check the spelling and mechanics only distribute the message and make sure that all documents and files successfully distributed are relevant to the communication item.
